Description POSITION TITLE: Office Administrator STATUS: Non-Exempt DIRECT SUPERVISOR: Corps Officer MISSION STATEMENT: The Salvation Army, an international movement, is an evangelical part of the universal Christian church. QUALIFICATIONS: Be at least 21 years of age. Have an understanding and acceptance of The Salvation Army's mission, philosophy, programs, and practices. Have obtained H.S. diploma or GED. Some college and/or experience preferred. Have experience working in a church or non-profit setting. Have the ability to plan and schedule events, programs and activities. Have the ability to create flyers and other custom publications such as newsletters & calendars. Ability to maintain social media. Have a basic knowledge of word, excel programs and general computer knowledge. SCOPE OF POSITION: The Office Administrator is responsible for many of the daily administrative task, as well as the first line of communication with the community seeking services and programs information. ESSENTIAL DUTIES AND RESPONSIBILITIES: Manage all incoming and outgoing mail. Ingest bills and invoices into AP workflow. Scan and Input receipt information into CARE program. Record and process all donation checks received through Deluxe Program. Assist with Sunday offering and make weekly deposits. Answer all incoming calls and direct where needed through TSA Yakima phone network. Assist with seasonal events; thanksgiving, Christmas distributions, Angel Tree, adopt a family, Project 700, Assist with Angel Tree Applications & Approvals, Red Kettle Kick off & Red Kettle Campaign, Block Parties, VBS, Outreach activities, special events and all other events as needed. Responsible for maintaining Advisory Board roster and needs of the Advisory Board; set up for monthly Board meeting & lunch. Responsible to collect monthly stats from all programs & individuals; Family service office, troops, bible studies, women's & Men's programming, meal on wheels, senior activities, CCM-visitations, Homeless feeding - Collect from all current and new programming. Enter CMS weekly. Monthly, finalize Stats in the Turbo stats program. Responsible to oversee Camper registration for Summer Camp at Camp Arnold. Assist with the Meals on Wheels senior nutrition program. Expert in Protect the Mission/Child Safety. Ensure staff and volunteers are aware of and follow the policies. Schedule training with Corps Officer/ Ministry Leader In-Charge as needed. Responsible for the Community Job Placements; maintain their evaluations & time sheets. Ability to communicate with staff, volunteers, donors, and the community. Maintain copy machine; call for service as needed. Replace toner and other needs as necessary. Responsible for creating a weekly list of items needed for purchase from all Programs. Must maintain confidentiality of services & administrative tasks. Support Safety Compliance Committee: organize meetings, take minutes and upload to the O drive. Ensure the chemical sheet is up to date and maintain the IIPP binder ensuring is it available to employees at all times. All other duties as requested. PHYSICAL REQUIREMENTS: Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or continuous basis. Ability to grasp, push, pull objects such as files, file cabinet drawers, and reach overhead.
