JOB SUMMARY:The Grants and Contracts Administrator plays a pivotal role in supporting the Office of Sponsored Programs (OSP) by overseeing the smooth submission of proposals and managing the lifecycle of awards. This position requires a high level of independent judgment and expertise in federal and non-federal sponsored project activities, ensuring compliance and effective communication between faculty, researchers, and funding agencies.

KEY RESPONSIBILITIES:

  • Pre-Award Support: Assist faculty in identifying funding opportunities, reviewing proposals, and preparing budgets. Provide expert guidance on applicable laws, sponsor guidelines, and institutional policies.

  • Contract Negotiation: Collaborate with the Director of OSP to review and negotiate sponsored agreements, ensuring adherence to federal, state, and institutional regulations.

  • Award Management: Oversee the entire lifecycle of awards, ensuring compliance with project requirements, budgets, and institutional policies. Support audit processes and respond to inquiries from faculty and administrators.

  • Training and Development: Develop and implement training programs for faculty and administrators on award activities and sponsor regulations. Ensure timely communication of changes in regulations.

  • Subaward and Contractor Oversight: Conduct risk assessments and review subaward agreements in line with Uniform Guidance. Ensure accurate classification of subrecipients and contractors.

  • Other Duties: Participate in related tasks to meet the goals of the OSP and the institution.

Skills Required and Qualifications:This position will require independent professional discretion and time management skills related to setting priorities for multiple proposal deadlines and other tasks. Must possess and retain a strong working knowledge of external sponsor regulations and be able to interpret and communicate policies and procedures to the faculty and administrators for institutional implementation of those regulations. Will continue to participate in training for professional development as appropriate.

  • Education: Bachelor’s degree or higher with at least 3 years of experience or equivalent combination of education and experience. Preferred degree Business or Finance.

  • Technical Skills: Proficiency in Excel, relational databases, and various sponsor electronic systems (i.e. Research.gov; Grants.gov). Experience with systems like FileMaker Pro, Oracle NetSuite, and InfoEd is preferred.

  • Regulatory Knowledge: Comprehensive understanding of Uniform Guidance and the ability to interpret and apply sponsor regulations effectively.

  • Communication: Strong verbal and written communication skills, with the ability to manage relationships and convey complex information clearly.

  • Project Management: Ability to organize and prioritize tasks, manage detailed workloads, and exercise sound judgment under pressure.

Salary and Benefits:

Starting salary range $65,000 - $85,000 depending on education and experience.

  • Flexible Spending Accounts: Employees may make pre-tax contributions up to the yearly IRS limit for health care expenses and for dependent care expenses. The plan is administered by London Health.

  • Tax Deferred Annuity Plan: Employees may make pre-tax or after-tax contributions to a TIAA account up to the IRS limit.

  • MBL Retirement Plan: The MBL contributes 10% of salary to the Retirement Plan of a TIAA account. Eligibility is two years of service, however service at other government or non-profit institutions may count toward this requirement. Contributions are immediately fully vested.

  • Employee Assistance Program (EAP): The MBL offers an EAP which provides free and confidential counseling to employees and family members. The program is administered by New Directions Behavioral Health.
