Shenandoah University Coordinator for Academic Advising Services in Winchester, Virginia

Shenandoah University’s Office of Academic Advising is accepting applications for a Coordinator for Academic Advising Services . This is a full-time benefited position located on our main campus in Winchester, Virginia.

Position Summary:

The Office Coordinator of Academic Advising plays a key role in ensuring the smooth and efficient operation of the Office of Academic Advising, Transitions and Progression. This individual is responsible for managing the day-to-day administrative tasks, supporting academic advising specialists, and serving as the main point of contact for students, faculty, and staff. The role requires excellent organizational, communication, and customer service skills, as well as the ability to handle sensitive information with discretion.

Key Responsibilities:

  • Administrative Support

  • Coordinate and manage the office's daily operations, including scheduling appointments, maintaining office supplies, and managing office communications.

  • Serve as the first point of contact for students, answering general questions and directing them to appropriate resources.

  • Maintain accurate records, files, and databases related to advising appointments, student records, and office activities.

  • Communication and Coordination

  • Handle incoming inquiries (phone, email, walk-ins) and provide clear, professional responses.

  • Manage advising@su.edu.

  • Coordinate communication between the advising office and other departments, such as Registrar, Financial Aid, Student Support and Academic Departments.

  • Assist in the coordination and participation of advising-related events, such as orientations, workshops, and information sessions.

  • Office and Data Management

  • Maintain office databases and track student advising information, ensuring data accuracy and confidentiality.

  • Assist in preparing reports and analyzing data for office use, including tracking student progress and advisor workloads.

  • Manage and update the advising office's website, ensuring content is current and relevant.

  • Student Services

  • Provide front-line support to students seeking academic advising, including helping students schedule appointments and guiding them on how to prepare for advising meetings.

  • Ensure that students are directed to appropriate resources within the advising team or elsewhere on campus.

  • Manages Acadeum processes including registration, communication and questions.

  • Other Duties

  • Support other administrative tasks as assigned by the Executive Director of AATP.

  • Stay updated on institutional policies and procedures that affect academic advising.

Required Skills

Skills:

  • Strong organizational and time management skills with the ability to manage multiple tasks simultaneously.

  • Excellent written and verbal communication skills.

  • Ability to be proactive in recognizing and completing tasks as they relate to academic advising.

  • Proficiency in Google Office Suite (Word, Excel, PowerPoint) and familiarity with database management systems.

  • Ability to work independently and as part of a team.

  • Strong attention to detail and ability to handle confidential information responsibly.

  • Familiarity with student information systems (SIS) or advising management platforms preferred

Required Experience

Qualifications

  • Education: Associate’s or Bachelor’s degree preferred; relevant administrative experience in a higher education setting preferred.

  • Experience: 2+ years of office administration or coordination experience; experience in an academic or student services setting is highly desirable.
