Position Description

Front Desk

  • Open up lobby areas in the mornings and ensure it is locked up each night.
  • Welcome and greet people entering establishment, determine nature and purpose of visit, and escort them to specific destinations. Ensure that each guest feels comfortable in the establishment by offering a beverage, pointing out restrooms and any other needs.
  • Operate telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments.
  • Maintain and update appointment calendars.
  • Accept and distribute deliveries.
  • Open and distribute daily mail.
  • File and maintain records.
  • Ensure all public spaces such as front lobby are orderly and clean throughout the day.

Administrative

  • Enter volunteer, training and PTO time into the various tracking systems.
  • Enter all new hires and terminate outgoing team members in the Foundry LMS system.
  • Assist with brainstorming Wichita Office events as needed.
  • Assist with event preparation to the extent the tasks can be done at the front desk. These tasks could include managing the sign-up, event communication, etc.
  • Update phone list.
  • Order meals and supplies for large trainings and register expenses.
  • Order business cards.
  • Assist with life events as needed: cards, ordering flowers, gift wrapping, etc.
  • Write thank you cards for those that assist with training and career fairs.
  • Manage kitchen and office supply inventories. This includes completing orders prior to depletion of stock and ensuring all supply is organized.
  • Assist office staff and field superintendents on various projects/items as needed (laminating, filing, calls, mail-outs, safety supplies, data entry, etc.).
  • Support a variety of departments such as operations, safety, people operations, field craft, etc.
  • Other duties as assigned.

  • Bilingual is a plus.

Environment:

Hours of operation are Monday-Friday from 7:00am to 5:00pm. These hours will be covered by two individuals splitting the 10-hour shift by working 7:00am to 12:30pm and 12:00pm to 5:00pm.
