The Mission Engagement Department at our Eastern Territorial Headquarters in West Nyack, NY has an opening for an Administrative Assistant. The Mission Engagement Department Administrative Assistant is accountable for providing senior level secretarial support for the Territorial Mission Engagement Secretary. Under the supervision of the Mission Engagement Secretary the administrative assistant provides comprehensive secretarial support utilizing discretion and soundjudgement in handling several complex duties.

The Mission Engagement Department is very diverse, being the base of several offices:• Corps Leadership and Development Bureau• Hispanic Ministries• OTHERS• Translation Bureau• Intercultural EngagementAs such, it is required that the Administrative Assistant occasionally assist with duties in each of these offices, under the direction and discretion of the Mission Engagement Secretary.

This position requires approximately 35 hours of work per week and is onsite.

Responsibilities

• Handle office communication on behalf of the Mission Engagement Secretary by drafting emails, sorting mail and answering routine inquiries. • Organize department activities, meetings and maintain schedules. • Maintain effective updates and presence of Mission Engagement Department events via social media. • Maintain effective filing and bring up files for special events and meetings. • Daily distribution of department mail. • Coordinate the Department Calendar as requested by the Mission Engagement Secretary. • Assist with the preparation and planning of any department events: LEAD, Intercultural Events etc. • Prepare meeting invitations, agendas and minutes for department meetings. • Maintain inventory of office supplies and equipment. • Complete travel arrangements for the department officers/employees, as needed. • Corporate card expense reconciliation for Mission Engagement Secretary through Chase Smartdata. • Contribute to team effort by accomplishing related results as needed. • Performs miscellaneous job-related duties as assigned by the Mission Engagement Secretary.

Qualifications

Associate's degree or equivalent from two-year college or technical school.

3-5 years of related experience.

Must have knowledge of administrative office procedures, including use of standard office equipment. Must have proficient experience in a variety of software applications such as Publisher, Adobe Photoshop/Illustrator, Microsoft 365 etc. Must have high-level interpersonal skills to handle sensitive and confidential situations. Must have strong written and verbal communication skills. Must be Christian in good standing. Must be detail oriented in composing and proofing materials. Must have ability to establish priorities and meet deadlines.
