JOB REQUIREMENTS: JOB TITLE: Office Coordinator REPORTS TO: HR Manager The Office Coordinator performs general office tasks, supports Human Resources and Plant Operations. RESPONSIBILITIES Welcome all visitors into the facility and direct them accordingly Answering incoming telephone calls and routing callers to the person who can best assist them. Ensure all office supplies are ordered and organized into the appropriate locations Assist in organizing events, such as meetings, business luncheons or dinners. Schedule conference rooms and update as necessary. Follow up with users on use, attendees and food/drinks preferences Maintain the conference room, including stocking supplies and beverages and ensuring equipment is functioning appropriately. Distribute all mail and deliver packages as appropriate. Schedules and organizes employee cheese sales. Manages Captive Shoe Program, works with vendor, and tracks safety shoe allotment. Assists with scheduling, organizing, and packaging donations Maintain employee attendance and timekeeping records. Assists with special projects, as necessary Other responsibilities as assigned by the manager. REQUIRED EDUCATION AND EXPERIENCE A High School Diploma A minimum of 5 years customer service or administrative assistant experience Proficient computer skills, including the Microsoft Office Must be legally authorized to work in the US without sponsorship. KNOWLEDGE, SKILLS AND ABILITIES Professional written and oral communications skills Proficient in Microsoft Office (Outlook, Word, Excel and PowerPoint) Excellent time management, organization and prioritization skills. Strong attention to detail. Ability to learn quickly and take on new responsibilities. Possess excellent interpersonal skills Ability to work with a high degree of integrity and operate both independently and as part of a team. Ability to multi-task and easily transition between working in fast and/or gradual paced environment. WORKING CONDITIONS Work is performed in an office setting. Occasional exposure to industrial operations including: temperature extremes from approximately 35F to 100F; noise levels in excess of 85 dB; moisture and moving machinery. Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems, and personal computers. Answer telephones, direct calls, and take messages. Communicate with customers, employees, and other individuals to answer questions, disseminate or explain information, take orders, and address complaints. Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer. Compile, copy, sort, and file records of office activities, business transactions, and other activities. Review files, records, and other documents to obtain information to respond to requests. Open, sort, and route incoming mail, answer correspondence, and prepare outgoing mail. Compute, record, and proofread data and other information, such as records or reports. Count, weigh, measure, or organize materials. Deliver messages and run errands.
