The Opportunity:
As an Administrative Operations Coordinator supporting the Maritime Industrial Base customer in Washington, DC, you will serve as the primary point of contact for customers, partners, and company personnel visiting the facility. In this role, you will create a welcoming and professional environment while managing front desk operations and event coordination responsibilities. The ideal candidate is outgoing, approachable, and possesses exceptional verbal communication skills. They should be adept at navigating and resolving operational challenges in a dynamic office setting, contributing to the success of a billion-dollar contract effort for the US Navy. The Administrative Operations Coordinator is expected to uphold the highest standards of courtesy and professionalism, ensuring a positive experience for visitors, staff, senior DoD stakeholders, senior executive service members, and other high-level officials. The ideal candidate will bring at least 5 years of experience in a similar role, with demonstrated expertise in interacting with executives and senior military and government officials. Strong event coordination skills, including planning, logistics, and execution of meetings and events, are essential to success in this role. This position is located at BlueForge Alliance (BFA) Offices in the vicinity of the Washington Navy Yard in Southeast Washington, DC.
Responsibilities:
Greet visitors, determine the purpose of their visit, and ensure a professional and welcoming experience.
Enforce security protocols by managing the visitor access control log and ensuring visitor badges are always displayed.
Coordinate scheduling of BFA and external conference rooms, including all aspects of meetings such as AV support, refreshments, printing, Wi-Fi, and amenities.
Take ownership of event coordination, including planning, logistics, vendor management, and on-site support for meetings and events.
Maintain a clean and well-organized lobby and conference areas.
Manage office equipment, including printing, scanning, and general upkeep.
Digitally compile, create, and manage reports and documents.
Handle incoming phone calls, accurately document messages, and forward them to appropriate staff.
Receive, sort, and distribute mail, office supplies, and other correspondence.
Monitor office supplies and perform quarterly inventory checks to ensure adequate stock.
Serve as the Badge Coordinator, managing visitor badges and building access in coordination with the Facility Security Officer and building management.
Prepare reports, documents, and spreadsheets as needed.
Provide general administrative and IT support as assigned.
Collaborate with the Facility Security Officer to manage office suite access through security measures.
Support compliance with internal and external regulations, including government and organizational policies.
Liaise with building management regarding employee access and facility maintenance.
Work with the Office Manager to manage front desk responsibilities.
Oversee access to conference rooms and support IT needs for displays and equipment.
Maintain office equipment, including printers, scanners, and other devices.
Qualifications:
Required:
Secret Clearance
High school diploma and 5 years of related experience
Excellent verbal and written communication skills.
Professional phone etiquette and active listening skills.
Strong attention to detail and accuracy.
Proven event coordination skills, including planning, logistics, and execution.
Ability to multi-task and prioritize tasks effectively.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Capacity to thrive in a fast-paced and dynamic environment.
Ability to perform tasks independently with minimal supervision.
Desired:

The proposed salary range for this position is:
$37,600 - $75,100
