Smithsonian Institution Administrative Officer in Washington, District Of Columbia

Summary The Smithsonian Institution is the world’s largest museum, education, and research complex, with 21 museums and the National Zoo. This position is located in the Office of the Inspector General (OIG). The Inspector General (IG) of the Smithsonian has the authority and responsibility for carrying out the functions, powers, and duties as provided in the Inspector General Act of 1978. Responsibilities The Administrative Officer position is located in the Office of the Inspector General (OIG), Smithsonian Institution (SI). The Administrative Officer provides an array of administrative management services, including administrative support, human resources, financial management, and budget administration. In this position, you will: Perform administrative activities to ensure compliance with policies, rules, and regulations. Provide human resources management services for OIG, including maintenance of personnel files and tracking and monitoring actions in the Human Resources Management System (HRMS). Initiate and provide support for personnel action requests including recruitment actions, separations, promotions, classification requests, and disciplinary actions. Maintain the daily operating budget and tracks obligations and expenditures of budgeted funds. Serve as a point of contact for various office procurement requests including registrations for training/conferences, local miscellaneous reimbursements, travel, and office supplies. Qualifications Grade 11 Experience: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-09 level in the Federal Service. For this position, specialized experience is defined as: Providing administrative support to an organization and advising management officers of policy directives and guidance pertaining to administrative policies and regulations. Maintaining budget for various financial matters. Providing human resources management services to include personnel actions, time and attendance, etc. Assisting management in the areas of procurement, travel, calendar management, performing purchase card holder responsibilities, and/or records management. OR A Ph.D. or equivalent doctoral degree in a related field of study such as business administration. OR 3 full years of progressively higher-level graduate education leading to a graduate degree in a field of study such as business administration. Or a Combination: Education and experience may be combined to meet the basic qualifications. For a full explanation of this option please see the Qualification Standards. Initiating and providing human resources management services to include personnel actions, time and attendance, etc. Supporting management in the areas of travel, calendar management, performing purchase card holder responsibilities, and/or records management. Serving as a point of contact for various office procurement requests. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Part-time and/or unpaid experience related to this position will be considered to determine the total number of years and months of experience. Be sure to note the number of paid or unpaid hours worked each week. Education Additional Information This position is not included in the bargaining unit.
