Akima Administrative Assistant, GSO in Washington, District Of Columbia
Tuvli, an Akima company, is hiring for an Administrative Assistant, GSO to support our DoS client located in Washington, DC.
The Administrative Assistant, GSO position is essential to the General Service’s Division’s ability to meet both short and long-term goals of the Bureau. This position provides a wide range of logistical and support services for the day-to-day operations of the bureau by managing housekeeping, motor pool, etc. to ensure an efficient and effective use of the available real estate. These duties are to be performed at a high level of customer service and attention to detail.
Primarily the support will include a wide range of project management skills. The focus of this position is to collaborate with CSO staff in requesting services, in accordance with the rules and regulations outlined within the Department’s policy.
Responsibilities
Interpret and analyze policy, and regulations for publication relative to general services operations.
Receive, review, and process requests for supplies, equipment, furniture, and office services, in a timely and efficient manner. Monitor status of actions in the EX work order system and provides EX leadership with metrics.
Plan, coordinate, establish replacement schedules and priorities, and determine methods of procurement and supply operations.
Process bureau service request in a timely manner, including but not limited to: telephone requests, TWD reports, BNET drops, and inventory requests.
Work closely with the General Services Team and Financial Management Officer to plan an effective, economical program for regular purchases and for the replacement of furniture and equipment Prepare sole source justifications and statements of work, when required, assuring adherence to current Federal Procurement Regulations.
Retrieve mail and parcel deliveries from the mailroom, coordinate SA-09 and HST dock deliveries, and process certification of insurance (COI) for vendor entry into DOS facilities.
Receipt for purchases in ILMS Final Receipt.
Receive, approve, and process requests for maintenance, repairs, alterations, laborer, locksmith, and cable services which involve expenditure of funds.
Analyze office requirements based on the size, type of operation and plans for future expansion. Present plans and/or alternatives for the most efficient utilization of space within existing constraints and criteria. Assist in drawing floor plans to accommodate office requirements; develops proposals and justifications for space; obtains estimates for renovations; works with officials to determine appropriate office furnishings; and ensures that contractors fulfill their responsibilities in accordance with specific requirements.
Coordinate with the Office of Real Property Management, Facilities Management, and physical security, to obtain approvals for minor office alterations and renovations projects.
Coordinate and manages the maintenance, disposal and cleaning of equipment, property, and space.
Coordinate with Global Publishing Solutions (GPS) and external vendors to arrange for special reproduction services, visual aids, charts, picture framing, graphics, printing, and all award certificates, including length-of-service and performance awards.
Assist the IT Team with managing the bureau’s inventory and annual reconciliation process.
Scanning inventory equipment by locations.
Researching prior year documents looking for missing property, using location and disposal reports.
Inspecting new equipment, adding barcodes, and entering equipment into the ILMS system.
Coordinate and arrange for all telephone-related services, as well as other communications and data-fax services.
CSO requires strong communication skills in order to interact with employees and managers at all levels.
Conduct special projects and assignments, often of a highly complex and urgent nature, as required.
Qualifications
High School Diploma.
Must possess highly developed written and oral communication skills.
Minimum 5 years’ administrative experience in an office environment.
Knowledgeable of general services operations.
Proficiency in MS Word, Excel, PowerPoint, Outlook, etc.
Strong organizational skills and ability to work independently.
Experience coordinating with multiple stakeholders and operating under tight deadlines.
Strong analytical/quantitative capabilities, research, and problem-solving skills, in order to gather and summarize data for reports, papers, and other documents.
Active Secret Clearance.
Pay Range
38.79 - 40.00
