Hall Equities Group Assistant Property Manager in Walnut Creek, California

We are currently looking for an experienced Assistant Property Manager to support our Portfolio Manager for Multi-Family Properties. POSITION DESCRIPTION: The Assistant Property Manager - Multi-Family Portfolio will report to the Multi-Family Portfolio Manager, who is currently responsible for the operation of our growing multi-Family portfolio. The portfolio consists of approximately 1,400 apartment units in four states, and 4,500 self-storage units located in Northern California. This includes bottom-line financial performance, directing approximately 33 on-site team members, and providing operational and financial oversight and direction. The ideal candidate will have the opportunity to use his/her experience to implement new and existing policies/procedures and to set up controls and best practices within the portfolio, working with the Portfolio Manager. RESPONSIBILITIES: • Assist with research and data entry for annual property operating budgets • Monitor all purchases and expenses to ensure cost effectiveness and compliance with budget Parameters • Supervise the invoice process • Coach on-site resident property managers to ensure adoption and implementation of policies and procedures • Assist on-site resident property managers in securing and managing outside vendors and services • Complete payroll reconciliation and processing bi-weekly • Complete data entry in MRI Residential Property Management software platform • Supervise the processing of Statement of Deposits • Supervise authorization of month-end accounting close for all properties in portfolio • Assist in due diligence and on-boarding of new multi-family properties and new development, including staffing, systems and processes • Develop and maintain positive tenant relations programs, including working with the Director of Marketing to develop and refine social media programs, promotions and marketing initiatives at each apartment property • Resolve property operational and compliance-related challenges within portfolio • Perform regular site inspections to assess physical property condition, compliance and overall staff administration • Prepare monthly asset performance narratives • Conduct property inspections and on-site management office audits • Work with Portfolio Manager to develop curriculum and itinerary for quarterly manager meetings • Assist on-site staff in completing capital improvement projects, including creating the scope of work, bidding out the work, choosing a vendor, completing the contract and managing the project POSITION REQUIREMENTS: • 2-5 years of on-site apartment management experience in California with market rate rental apartments • 2-5 years of on-site supervisory experience • Eager to grow and advance career in multi-family rental income management • Attention to detail and a high degree of accuracy • Strong organizational skills and effective interpersonal relationship skills • Speed, efficiency, the ability to multi-task multiple projects, and work under deadline • Familiarity with real estate management/accounting software, such as MRI or Yardi • Familiarity with Microsoft programs, specifically excel • At least 2 years’ experience managing staff of at least 5 or more people • Available to travel (limited) as needed • Willingness to take ownership of responsibilities This job description is not intended to be and should not be construed as an all-inclusive list of responsibilities, skills or working conditions associated with the position; and will be reviewed by Management periodically as duties and responsibilities change with business necessity.
