What's Available: 1.0 FTE (40 hours/week) Shift: Monday-Friday, Days Location: Onalaska, WI (Support Services Building, SSB) Department: System wide 'help desk' type support for patients and staff with virtual care platforms Remote Eligible once appropriately trained - Hybrid and Onsite available if applicable. What you need: High School Diploma or equivalency 1 year experience in an office setting requiring customer service responsibilities, telephone and computer competency. Job Description: This role is in the Virtual Care Department. The role of the Registration Specialist is customer service driven and must have the ability to effectively promote a positive first impression of Gundersen Health System. This position provides foundational phone support across the organization to both internal and external customers; for the registration of all new patients, assisting with virtual visits as well as pre-registration of scheduled patients. Specifically, this specialist is responsible for ensuring accurate and complete registration, demographic information, and insurance coverage is secured and patient liability is communicated and attempted prior to services being rendered to allow for timely filing of claims. Between calls this position is responsible for various registration and billing work queues and reports identifying missing or incorrect hospital and clinic registrations. Upon successful completion of training, the Registration Specialist is expected to complete an assessment and achieve designated production standards based on the work done. Major Responsibilities: 1. Represents Gundersen Health System high standards for customer service in all telephone and email interactions through courteous, patient and respectful conduct and conversation, while meeting the needs of all customers encountered. 2. Answers the designated new patient line for the organization, creates and maintains guarantor and patient registration and welcomes patient to Gundersen and provides additional information to patient prior to service. 3. Works collaborative with clinic departments in the coordination of new patient appointments and incoming appointment referrals from external worksite clinics/non-GHS locations. 4. Responsible for maintaining data integrity in the pre-registration of patients, reconciling returned mail, verifying and updatin demographics and insurance accurately and completely, to drive a timely billing process. 5. Works collectively with insurance carriers, patients and internal contacts to identify referral requirements and insurance networks, to ensure additional registration and insurance verification is complete prior to the patient arrival. 6. Identifies and communicates the organizational finance guidelines for collection of payments during pre-service finance discussions and directs customer to appropriate resources when necessary. 7. Reviews and reconciles accounts, patient, charge review, claim edits, credit, interface errors, transitional care follow up appointments and referrals work queues ensuring accurate data integration, timely reimbursement and final disposition of claims. 8. Reviews and reconciles reports, My care, and email/text responses for scheduled appointments to ensure the accuracy of the EMR. 9. Analyzes registration and scheduling work flows to identify potential process improvements and escalates accounts to Manager as appropriate. 10. Knowledge in and complies with registration and insurance billing guidelines, protocols and procedures as defined in organizational and departmental policies. 11. Demonstrates and maintains competency in computer skills related to insurance, verification and eligibility systems in validating the reimbursements of services rendered. 12. Performs other job-related responsibilities as requested. Education and Learning: REQUIRED High School Diploma or equivalency DESIRED Post High School education in a specialized field Work Experience: REQUIRED 1 year experience in an office setting requiring customer service responsibilities, telephone and computer competency. DESIRED 1 year Health care experience and registration scheduling experience.
