GENERAL DESCRIPTION:

The Wyoming Department of Health is seeking a highly motivated individual to join a team of certification clerks who assist the public in obtaining certified vital records. Working under limited supervision, this role performs general administrative duties and has some fiscal responsibilities.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed in the job level.

  • Acts as the first point of contact for the Vital Statistics Office through various forms of communication

  • Evaluates all incoming requests, analyzing customer-provided documentation and identification ensuring entitlement to various vital records

  • Maintains a filing system for correspondence to ensure proper record keeping and secure storage of sensitive documents

  • Assist in the digitization of legacy documents through scanning and data entry

  • Balances daily transactions through various payment types

  • Provides high-quality customer service to the public and other governmental entities

  • Assists with quality assurance in records analyzing any discrepancies using problem-solving skills and deductive reasoning

  • Cross-trains with office staff in other areas to ensure continuity of departmental operations

Qualifications

PREFERENCES:

Preference may be given to individuals with experience in customer and/or experience in record keeping.

KNOWLEDGE:

  • Ability to maintain confidential information.

  • Ability to be a team player.

  • Ability to relay and have an understanding of and adherence to guidelines and program objectives.

  • Knowledge of the Statutes and Rules as they apply to Vital Statistics.

  • Skill in written and oral communication.

MINIMUM QUALIFICATIONS:

Education:

Associate's Degree (typically in Records or Data Management)

Experience:0-1 year of progressive work experience (typically in Records and Data Management) with acquired knowledge at the level of a Records & Data Management Clerk

OR

Education & Experience Substitution:2-4 years of progressive work experience (typically in Records and Data Management) with acquired knowledge at the level of a Records & Data Management Clerk

PHYSICAL WORKING CONDITIONS:

  • The employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
