We are currently seeking 2 Part-Time Receptionists. In this role, you will be assisting the Office Manager with all office responsibilities, including set-up and breakdown of meeting spaces, the greeting of visitors, management of the front receptionist desk, and task support to all departments, as needed.

Responsibilities:

  • The efficient and warm reception of guests and staff

  • Prompt and accurate attending to the phones and the public's inquiries

  • Appropriate documentation of calls and visitors

  • Appropriate referrals of calls to other resources, when possible

  • Responsible for the setting of standards for staff in regard to care of office systems and equipment

  • Presenting clear and consistent directions for office procedures

  • Taking part in hospitality for meetings and guests and create a welcoming environment for staff and guests

  • Organizing office routines and completes the assigned task

  • Receives and distributes mail

  • Assists staff with all correspondence

  • Sends out applications for housing, creates and maintains residential files, and enters data for the intake process

  • Responsible for accuracy of residential records before admitting and upon discharge

  • Works with staff to complete all statistical reporting and accountability reports to funding sources

  • Assists the Director of Facilities with mailing out inspection notices

  • Generates staff and resident birthday cards

  • Updates staff phone list and maintains an accurate daily record of staff out-of-office/meetings and travel

  • Maintains office calendar and reserves rooms for meetings

  • All other duties, as assigned

    Requirements:

  • Experience working in an office setting and knowledge of office practices

  • Experience with printers, copiers, postage machine, and office equipment

  • Able to work in a fast-paced environment and act with a sense of urgency

  • High School Diploma or Equivalent

  • Proficient with Microsoft Office Suite

  • Physical Requirements: remains stationary for long periods of time in the office, moves intermittently throughout the office during work hours, reaching overhead, may push or pull 15-20 pounds daily, repetitive wrist/finger movement, read/write reports and use computer on daily basis.

    Shift 1: Monday - Friday Mornings (8:30am - 12:30pm)

    Shift 2: Monday - Friday Afternoons (12:30pm - 4:30pm)

    Pay Rate: $19.00 an hour
