The Program Coordinator I will manage the Undergraduate Program office. This position will recruit and advise undergraduate students concerning their career goals and academic requirements. In addition, they will provide information on and refer students to university resources that can assist in meeting their needs or solving problems. Salary Range: Compensation will be commensurate to selected hire's experience.

Required Education and Experience:

  • Bachelor’s degree or equivalent combination of education and experience

  • Two years of related experience

    Responsibilities:

  • Undergraduate Program Planning and Coordination: Manages the Undergraduate Program and Advising Office. Serves as the initial point of contact within the Undergraduate Program Office. Assists the Associate Department Head and Assistant Department Head in the development, maintenance and revision of Undergraduate literature, Undergraduate Handbook, web pages, and recruitment publications. Maintains participant files consisting of official and confidential matters. Directs students with academic, probationary, and financial concerns to the appropriate resource. Informs students of opportunities, announcements, and deadlines via email listserv. Attends, participates in, and provides administrative support for the Undergraduate Committee meetings, and for the Director of Math Honors and Undergraduate Research. Prepares and submits all changes made to Mathematics Undergraduate academic program or MATH courses in catalog through CARS. Attends and participates in scholarship committee meetings, records decisions, and confirms posting of scholarships. Maintains scholarship database of current and past scholarship recipients. Maintains Undergraduate database and high school contact spreadsheet. Tracks, collects, and compiles historical Undergraduate data and statistics. Conducts queries in Banner/Compass and ARGOS databases in regard to the MATH Undergraduate program. Plans and implements undergraduate events. Coordinates arrangements for freshman and transfer conferences, student organization meetings, and activities. Organizes graduation receptions.

  • Administrative Support: Serves as the Assistant for the Associate Department Head for Undergraduate Programs and the Assistant Department Head for Undergraduate Programs. Schedules appointments and meetings for the Associate and Assistant Department Heads for Undergraduate Programs. Directs students to an online appointment system for advisors and, assists with scheduling when needed. Monitors Navigate appointment system Kiosk. Plans, implements, and evaluates an efficient and effective procedure to process prerequisite override and force requests. Responds to inquiries regarding registration problems in math courses. Runs appropriate reports and corresponds with students concerning problems with their registration. Reviews, and approves or denies prerequisite override and force requests under general direction. Adds or drops students from courses as necessary . Coordinates Math Career Fair panel. Assists faculty advisor with Math Club tasks. Responsible for hiring and tracking hours of Math Help Session Leaders in the fall and spring. Responsible for the upkeep of the Matthew Gaikema Undergraduate Lounge. Works with the Mathematics business office to understand the travel reimbursement process and assists Undergraduate students with navigating the appropriate steps.

  • Undergraduate Research Programs Planning and Coordination: Coordinates the planning committee of the High School Math Contest. Assists appropriate faculty director of special events/activities supporting Mathematics and Statistics Awareness Month (in the spring), Mathematics and Statistics Fair, Aggieland Saturday, and Semi-annual Sciences Career Fair. Collaborates with faculty sponsors on research programs (REU). Coordinates the advertisement of programs through mailings and web postings. Tracks applicants and acceptances, plans and implements travel arrangements, local accommodations, facilities, information binders, and itineraries for participants.

  • Staff Backup: Serves as backup of staff positions within Mathematics Teaching Operations, assists with covering the main office and p erforms other duties as assigned.
