Job Description

The Program Coordinator, under the general supervision of the Principal Investigator, will serve in a variety of complex coordination and special projects tracking, purchase requisitions, reporting, and contract administration in developing and implementing operative procedures. The Program Coordinator will be responsible for assisting with project management and grant oversight. The Program Coordinator will perform routine administrative planning, scheduling, and organizing functions related to grant and Small Farm Institute.

This position may pay more than the salary listed above depending on the qualifications and experience of the selected candidate.

This position is funded by a grant or restricted funds. Continued employment is contingent on the renewal of grant or restricted funding.

Responsibilities:

  • Serve as the primary liaison for the Project Manager, assisting with daily project management needs including budgeting, requisitions, and problem resolution. Responsible for collecting quarterly or monthly grant performance reports in collaboration with the Project Manager and Business Manager, ensuring timely project completion. Oversee the day-to-day management of grants and projects, addressing staffing issues, monitoring finances, handling encumbrances, and negotiating change orders and supplemental agreements. Coordinate closely with all relevant departments and external grantors to guarantee compliance with all federal, state, and local regulations and maintain the accuracy and integrity of all project documentation.

  • Manage and coordinate all scheduling and meeting activities for the Project Manager, including facilitating and attending meetings, scheduling appointments with clients, confirming customer meetings, organizing staff conferences, and coordinating calls and meetings for various program areas and unit staff.

  • Oversee the organization and management of the office environment, including setting up and maintaining both paper and electronic filing systems for various records and correspondence. Operate and manage office equipment such as fax machines, copiers, and phone systems, and proficiently use computer software for tasks like spreadsheet management, word processing and database administration.

  • Conduct comprehensive searches to locate necessary information utilizing various resources, including the internet.

  • Participates and assists in college-wide events, activities, committees and performs other duties as deemed necessary.

Required Education and Experience:

  • Bachelor’s degree.

  • Two years of related experience.

Required Knowledge, Skills and Abilities:

  • Ability to Maintain Confidentiality.

  • Knowledge of word processing/database/spreadsheet/publisher software.

  • Good organization skills.

  • Ability to communicate orally and in writing.

  • Ability to work independently of direct supervision.

  • Ability to work under tight deadline pressure.

Preferred Qualifications:

  • Master’s degree.

  • 3-6 years of related work experience.
