GENERAL DESCRIPTION:

The purpose of the DVR Office Support Specialist position is to assist the rehabilitation counselor and area manager daily, and DVR administration as requested. This position supports the agency's efforts to provide services to individuals with disabilities to obtain employment in an integrated setting. The Office Support Specialist works under limited supervision and provides daily management and oversight of their local DVR offices to ensure that all procedures and operations that occur in each office meet the established agency criteria.

ESSENTIAL FUNCTIONS:The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level.

  • Acts as the first point of contact for the local VR office.

  • Provides high-quality customer service to participants, community stakeholders, and agency staff.

  • Greets screens visitors, and participants to evaluate and determine needs.

  • Schedules appointments for participants.

  • Refers participants to appropriate supportive service agencies.

  • Serves as a resource in explaining programs to community stakeholders, vendors, employers, and agency partners.

  • Accurately maintains agency files and records in the electronic case management systems.

  • Prepares authorizations for participant services and verifies services are coded accurately.

  • Processes approved payments to vendors in a timely manner.

  • Tracks and evaluates local office and participant service information for accuracy.

  • Updates and maintains office supplies and office forms.

  • Supports the local Vocational Rehabilitation Counselors in maintaining and reviewing case files to determine the action to be taken.

Qualifications

PREFERENCES:

Preference may be given to candidates who have experience working with individuals with disabilities.

Preference may be given to candidates with experience in complex file maintenance.

Preference may be given to candidates with experience in basic accounting.

KNOWLEDGE:

  • Knowledge of applicable federal, state, and local laws, codes, regulations and policies, technical processes, and procedures related to the department.

  • Knowledge of financial record keeping and reporting principles and procedures, basic accounts payable, and purchasing.

  • Knowledge of techniques for providing a high level of customer service.

MINIMUM QUALIFICATIONS:

Education:

Associate's Degree (typically in Business)

Experience:

0-1 year of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II

OR

Education & Experience Substitution:

2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II
