Summary This position is part of the Veterans Crisis Line (VCL).The VCL is a 24-hour, 7-days-a-week, 365-days-a-year service aimed at connecting callers worldwide to a caring, qualified VA employee. The VCL's mission is to provide 24/7,world-class suicide prevention and crisis intervention services to Veterans, Service Members, and their family members. This position serves as a key advisor to the Supervisory Management & Program Analyst (Director) in Data & Information in the Veterans Crisis Line. Responsibilities This position is part of the Veterans Crisis Line (VCL). The VCL's mission is to provide 24/7, world-class suicide prevention and crisis intervention services to Veterans, Service Members, and their family members. This position serves as a key advisor to the Supervisory Management & Program Analyst (Director) in Data & Information in the Veterans Crisis Line. Additional applications will be reviewed in one day increments at management request Major duties include but not limited to: Serves as the Executive Assistant and key advisor to the Supervisory Management & Program Analyst (Director), Data & Information, performing a variety of administrative and technical support tasks. Provides high-level administrative support regarding work problems presented to them as it relates to personnel, staff utilization, leave programs time and leave, reasonable accommodation, organizational and staff development. Informs appropriate personnel of any changes in administrative policies, establishment of new procedures, and practices to be used by subordinate offices, and ensures practices are consistent throughout VCL. Cites and discusses policies, regulations, and directives and their application to specific cases to assist in the formulation of official responses. Provides background, reference, program and policy information for decisions on documents, briefings and incoming actions. Interfaces with individuals at all echelons of the organization, to include both higher and lower levels of VA Clinical Service, OMSHP, and VCL. Exercises maximum tact and judgment in satisfying the needs of the many official and unofficial callers with widely diversified interests and issues. Coordinates matters affecting VCL Data & Information policy and operations. Reviews, analyzes, and controls all executive level correspondence for the Data & Information office. Identifies areas needing emphasis and exercises guidance; tasks, directs, and coordinates with other organizations engaged in the development and implementation of plans and objectives to ensure actions, programs and initiatives meet the needs of the Data & Information division. Initiate and direct courses of action for timely accomplishment of objectives and to initiate staff work resulting in recommended solutions for their attention. Defines objectives, establishes plans, formulates milestones, directs and guides others in accomplishing assignments, and evaluates accomplishments toward achieving objectives. Performs independent research and drafts/edits briefing materials, memos, white papers and analysis for decision-making and information. Prepares and maintains executive-level briefings. Performs additional research and rewrites submissions from other staff activities within Data & Information. Researches, analyzes, and updates submissions for content as needed. Reviews all correspondence and other written materials for appropriate content, coordination, routing/coordination of actions, suspense, etc. Researches current VA, VHA, and VCL policies and SOPs to determine appropriate policy and procedures in relation to current tasking and issues. Provides information, advice, and assistance on a wide variety of management and administrative projects, policies, issues, and initiatives which support accomplishment of the VCL's mission. Work Schedule: Tour of Duty is typically Administrative Hours. Flexible Schedule may be available after training. VCL has multiple tours that cover our 24/7/365 operations (this does include Holidays). Tour is subject to change based on program needs. Telework: Not applicable for Remote positions Remote: This is a remote position. Selectees will work 100% of the time in a non-VA-owned space outside of the local commuting area of a parent station. The employee's workspace must be suitable for conducting business and as such, remote employees are expected to provide a secure, distraction-free home-based worksite with reliable high speed internet connectivity. Examples of specialized experience would include, but are not limited to: Organization, administrative procedures, management techniques and practices related to personnel and resource management Administrative practices and procedures common to organizations, such as areas of responsibility, channels of communication, delegation of authority, routing of correspondence, filing systems and storage of files and records. Oral and written communications sufficient to develop procedures. Prepare correspondence addressing complex and controversial issues. Prepare and present briefings for various levels of management. Ability to present study results. Knowledge and skill of qualitative and quantitative analytical methods and techniques for efficiency and effectiveness of program operations and substantive administrative support functions.
