What we want

The Executive Assistant I provides administrative support to high level administrators. Work involves coordinating high-level operations of the law school’s Career Services Office. Exercises discretion and independent judgment with respect to matters of confident and significance. Provides administrative support to the law school Career Services Office serving law students, graduates, and employers.

What you need to know

Salary Range: $52,000-54,000 annually. Compensation will be commensurate to selected hire’s experience.

Required Education and Experience:

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.

  • Three years of related experience.

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, and presentation applications.

  • Ability to multitask and work cooperatively with others.

  • Interpersonal and communication skills.

  • Planning and organizational skills.

Essential Duties/Tasks:

Reception

  • Monitor Career Services inbox and telephone line.

  • Schedule employer recruitment visits.

  • Schedule student meetings with career counselors.

  • Schedule interview room reservations for student virtual interviews and coordinate with IT.

Graduate Employment Survey

  • Enter and process surveys, data, and reports.

  • Create ABA supporting documents folder in shared drive for entering and graduating classes.

  • Scan and upload surveys to internal ABA supporting documents folder.

  • Add email and telephone numbers to class spreadsheets.

  • Maintain tally of completed Exit Surveys and Interviews for graduating classes.

On-Campus and Off-Campus Interviews and Employer Recruitment

  • Assist with Scheduling On-Campus and Off-Campus Virtual Student Interviews (scheduling and setting up interview links).

  • Develop employer recruitment lists (NALP, CSO, etc.) and update and verify current information on employer recruitment lists.

  • Assist with the employer registration process and entering data in 12Twenty/REVS platform.

Job Postings, Online Job Bank

  • Provide employers with job posting instructions.

  • Post jobs in 12Twenty/REVS.

  • Answer employer questions.

  • Search Internet for legal jobs/internships to add to online job bank.

Job Fairs

  • Provide job fair support as necessary.

Career Training Seminars

  • Reserve rooms, request IT support, room setup, notify security.

  • Process student business card requests.

  • Reciprocity

  • Request reciprocity for students and alumni.

  • Send reciprocity approval/denial to students from other schools seeking reciprocity.

  • If reciprocity is granted to students/graduates of other schools, establish temporary account in 12Twenty/REVS for 90 days.

  • Submit monthly postings to Intercollegiate Job Bank/BYU Job Bank.

Travel and Processing Purchasing Card Receipts and Statements

  • Make travel arrangements.

  • Gather receipts to reconcile with purchasing card statement for career services professionals.

  • Verify that sales tax is not included in purchases.

  • Send tax exempt form to vendors when making purchases or corrections.

  • Make calls when necessary.

Other

  • Order office supplies, refill printer and copier ink cartridges, paper, and make service calls.

  • Restock job search literature.

  • Submit facilities and custodial requests.

  • Process outgoing/incoming mail.

  • Draft, print, and post event signs as needed.
