PURPOSE
The Assistant Registrar will provide leadership for all aspects of the production and publication of the Undergraduate and Graduate catalogs. This position will direct, supervise and oversee the maintenance of the University's course inventory in the student information system. This position will provide guidance and oversee training to the campus community on the use of the catalog and curriculum management system for both catalog production and course inventory. This position will also assist the University Registrar with project management and commencement related activities.
DESCRIPTION
Functional Area 1: Operations
Percent Effort: 60%
Oversee and maintain the production and publication of the undergraduate and graduate catalogs.
Coordinate with campus units to ensure accurate information is presented in the catalogs.
Develops and implements procedures to ensure the University operates in accordance with the polices of the Texas A&M University System, the Texas Higher Education Coordinating Board and various accrediting agencies ensuring compliance and monitoring for and responding to federal, state, and local legislative updates for curriculum and course management.
Evaluates the catalog production process yearly to determine effectiveness and efficiency.
Research and implement best practices for catalog, course, and curriculum management.
Oversees training for catalog, course, and curriculum management system for campus community.
Consults with Catalog and Curriculum Coordinator and vendor to resolve catalog, course, and curriculum software issues.
Coordinates testing of vendor updates for catalog, course, and curriculum software.
Oversees course and curriculum inventory in student information system.
Maintains working knowledge of Family Educational Rights and Privacy Act (FERPA) and serve as a university resource and/or contact on issues relating to confidentiality of student education records as it relates to Undergraduate and Graduate catalogs.
Functional Area 2: Supervisory Management
Percent Effort: 10%
Supervises staff involved with catalog, course, and curriculum operations.
Implements professional development opportunities and continuous feedback through the evaluation process.
Manages and plans objectives and goals for staff.
Functional Area 3: Other
Percent Effort: 30%
Oversees commencement planning and communication to students.
Ensures that relevant websites are updated with commencement information.
Manages the application for graduation process in the student information system.
Produce ad-hoc reports as needed for commencement.
Oversees the student tuition rebate process.
Collaborates with cross-divisional departments to ensure pertinent data is accurately captured and relevant policies and guidelines are adhered to.
Assist University Registrar with projects.
Other duties as assigned.
QUALIFICATIONS
Bachelor’s Degree.
Five (5) years related experience.
Additional education may be considered as a substitution for the minimum experience requirements.
Master’s degree and three (3) years of related experience.
Intermediate skills in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
Excellent written and oral communication skills, including proofreading skills necessary to proof and edit documents for publication. Ability to train campus stakeholders on systems and processes.
Strong attention to detail and the ability to prioritize work under deadline pressures.
Demonstrated ability to work in a fast-paced environment ensuring responsibilities are met.
PREFERRED QUALIFICATIONS
Bachelor’s degree or Master's in disciplines of curriculum and instruction or business management.
Knowledge of FERPA.
Five (5) years progressive experience in an academic administration setting.
Experience with course creation and data cleanup.
Working knowledge of catalog maintenance and curriculum management software.
SALARY: $4,583.34 Approx. Monthly ($55,000 Approx. Annually)
