BIG BROTHERS/BIG SISTERS ASSOC OF C Administrative Assistant in Vineland, New Jersey

General Expectations and Duties: * Develop an understanding and work within the guidelines of Big Brothers Big Sisters of Cumberland & Salem Counties' by laws, policies, and procedures, and Big Brothers Big Sisters of America's standards and procedures * Self-motivated, high-energy, and organized with a commitment to success * Willing and able to work with diverse populations * Excellent oral and written communication skills * Strong clerical and organizational skills * Ability to think strategically and work collaboratively * Proficient keyboard typing skills for accurate data entry and record maintenance * Ability to work fast and efficiently with minimal supervision * Ability to multi-task and prioritize daily tasks and work assignments * Attend and assist in agency meetings, special events, and community events * Maintain customer service at levels exceeding expectations of our partners, volunteers, parents, and children
* Always represent Big Brothers Big Sisters in a professional manner, providing courteous service to both internal and external constituents and presenting a positive image of Big Brothers Big Sisters * Manage, maintain, and update all office automation equipment plus ensure good working conditions * Maintain and order office supplies * Conduct clerical and administrative duties * Answer telephone, make telephone contacts, and deliver all messages to appropriate staff * Assist with scheduling, constituent cultivation and stewardship * Type reports, letters, and licenses/applications * Maintain, update, and manage mailings lists and mailings * Maintain and update databases * Assist with the cultivation and stewardship of donors * Assist with recruitment of volunteers to support partnership development and event planning. * Assist with preparation and distribution of relevant promotional materials to support programs, development, and special events * Assist with data collection, review, and complete statistical reports as requested on a monthly and annual basis * Participate in staff meetings and trainings to upgrade skills needed to improve job. * Assist in maintaining a clean and organized physical office space for public use and presentation * Complete other duties as assigned

Experience, Education, Degrees, and Licenses: * High School Diploma/GED with a minimum of 2 years working experience in Business Administration and/or public relations * Familiar with data entry, data tracking and documentation practices * Must have the ability to work proficiently with computers and other office equipment along with strong computer skills including Microsoft Word, Excel, Power Point, Outlook and internet access * Must meet all guidelines of Big Brothers Big Sisters of Cumberland & Salem Counties volunteer intake process including ability to pass a background check consisting of National Sex Offender, Criminal History and driving check

Physical Demands/Work Environment: * Required to travel, may include some travel to attend training courses, conferences and meetings, etc., travel is generally within Cumberland & Salem Counties * Must be able and willing to have flexible availability to accommodate a work schedule that may include evenings and weekends * Must have reliable transportation, driver's of privately-owned vehicles must have valid Driver's License and meet state required automobile insurance minimums
* Must have the ability to lift at least 30 pounds

Mon-Fri (8:30am-5pm with some early morning, evening, and weekends) * High School Diploma/GED with at least 2 yrs working exp in Business Administration * Background check, finger printing, and proof of statue minimum auto insurance
