THIS IS PART TIME POSITION AND POSSIBLY ONLY TEMPORARY!!!!!!!\ Not an entry level position

Pay:\$18-\$19/hr\ Hours: 7am to 4pm or 8am to 5pm (20-30hrs a week)

First City Staffing is looking for an administrative assistant in Robinson, IL, who has a strong knowledge in SAP and noted experience with industrial facilities. As an Administrative Assistant, you will be essential in supporting daily operations and ensuring efficient office management. Reporting to the Office Manager, your core skills in clerical tasks, customer service, and organizational abilities will be vital in maintaining a productive work environment. Your proficiency in Microsoft Office, SAP, and Outlook, along with premium skills in handling multi-line phone systems and QuickBooks, will enhance your effectiveness in this role. You will also utilize relevant skills such as data entry and calendar management to facilitate smooth communication and workflow within the organization.

Process received goods and services

  • Confirm receipt of goods or services via receiver slips
  • Enter receivers into SAP system
  • Have any discrepancies found between Receiver/Invoice/Purchase Order corrected
  • Check SAP for outstanding Purchase Order items as a check on receiving for monthly balancing

Process received raw materials (Green Petroleum Coke - GPC)

  • Receive GPC incoming volumes from Operations, convert as required, and enter received GPC information into a required spreadsheet(s)
  • Send volumes to the supplier(s)
  • Enter Volumes into SAP
  • Process production (Calcined Petroleum Coke CPC)

Retrieve Production information from the previous day(s), convert values as required, and enter production information into the required spreadsheet(s)

  • Verify all Information is correct
  • Enter Production into SAP

Railcar Billing and Ordering

  • Receive railcar weights
  • Generate and email Railcar BOLs
  • Order railcars through a web interface

Office/Clerical duties

  • Could be the \"go-to\" person for the following subjects/tasks: helping with expense reports, benefits items, etc.
  • Files Maintenance work orders in the appropriate file
  • Assists Plant Manager and Operations Manager with emailing of SH&E documents to Corporate
  • Monitor office and breakroom supplies and prompt ordering when required

Requirements:

  • SAP knowledge and experience-will receive goods and services, enter in production, be able to create purchase requisitions
  • Experience with industrial facilities/offices
  • Proficiency with Microsoft Excel
  • Proficiency with Microsoft Outlook
  • Ability to learn purchasing policies and procedures.
  • Ability to follow verbal and written instructions.

Working Relationships

  • Reports directly to Plant Manager
  • Interfaces with Operation Manager, Production Control Coordinator, Operations Personnel and Maintenance Personnel
  • In cooperation with Plant Manager and Operations Manager, works directly with suppliers, contractors, corporate accounting, logistics, and others as required.
