Navy Federal Credit Union Associate Board Relations & Corporate Directive Specialist in Vienna, Virginia

Overview

To support the activities of the Vice President, Board Relations and Corporate Directives Administration and the AVP, Board Relations and Corporate Directives Administration. To assist in the support of the Board of Directors and Volunteer Officials and to assist as needed in providing support to the President, COO, and Chief of Staff.

Responsibilities

  • Assist with executive conference attendance logistics for Navy Federal’s volunteer officials and senior management to include coordinating travel arrangements, preparing travel authorizations, registering attendees, providing geographical information to attendees, and reviewing/creating expense reports

  • Coordinate, track, and communicate Board Member/Volunteer Official reimbursements for travel, including board meetings, conferences, committee meetings

  • Track receipt of refunds from conference sponsors and hotels when cancellations are necessary; maintain a list of cancelled airline tickets and arrange use by the traveler at a future date

  • Assist in the preparation of the monthly Board Package to include committee reports, the President’s report; and New Business materials; edit and/or provide content change recommendations as needed; coordinate the distribution of the Board Package to volunteer officials, Board Members and Navy Federal staff; publish finalized Board Package to Navy Federal’s Intranet

  • Maintain attendance records for Board Members and Volunteer Officials for all meetings, conferences, and other events

  • Maintain the Calendar of Events & Committee Meetings

  • Coordinate and prepare agendas for Management Council and President’s Committee Meetings; maintain meeting agenda workbook, prepare, and distribute minutes

  • Serve as the Intranet Site Manager for the President’s Office; create, monitor, and maintain content to ensure site is current and adheres to corporate standards, guidelines, and procedures; establish procedures for content contributors

  • Update and maintain the roster of the Board of Directors and Committee Assignment listing, organization charts, manuals, instructions, staff directories, reports, and statistics

  • Track volunteer officials length of service and provide anniversary date to VP Board Relations and Corporate Directives Administration; assist with coordination of orientation for new volunteers, materials for resigning volunteers order nameplates for new volunteers , update codes in back end systems for use by Member Service Representatives, and update the database directory

  • Assist in the preparation of corporate directives including the review schedule, master logs, documentation, business area communications, etc.

  • Assist in performing secretarial and administrative functions within the President’s Office for the Board of Directors and committees, the President, the Chief Operating Officer, and members of the President’s staff; maintain a thorough knowledge of the office organization, procedures, and projects

  • Coordinate and prepare agendas for ad hoc meetings, events, and presentations

  • Proofread and edit content for standardization to ensure clarity and accuracy

  • Order office supplies/services and reconcile invoices

  • Serve as point of contact with external vendor to maintain and load the digital board package and supporting documents; provide troubleshooting guidance and training

  • Coordinate/facilitate projects for the front office

  • Perform other duties as assigned

Qualifications

  • Experience in performing clerical or administrative duties/responsibilities

  • Exposure to managing or administering a function or procedure

  • Experience in independently managing or administering a function or project

  • Effective knowledge of expense tracking, budget preparation and administration

  • Effective database and presentation software skills

  • Effective organizational, planning and time management skills

  • Basic research, analytical, and problem-solving skills

  • Effective skill communicating with all levels within an organization

  • Effective skill exercising initiative and using good judgment to make sound decisions

  • Effective skill interacting with staff, management, Navy Federal Board officials, vendors, and members diplomatically and tactfully

  • Effective skill presenting findings, conclusions, alternatives, and information clearly and concisely

  • Advanced customer service orientation and focus

  • Advanced verbal and written communication skills

  • Effective editing and composition skills

  • Effective ability to exercise tact and courtesy and maintain effective working relationships with VIPs, co-workers, and other employees and ability to deal tactfully with external vendors

Desired Qualifications

  • Associate’s Degree in Business Administration or a related field, or the equivalent combination of education, training, and experience

  • Advanced knowledge of Navy Federal's policies, functions, philosophy, operations, and organizational objectives

    Hours: Monday - Friday, 8:00AM - 4:30PM
