Job Description:

This Maritime Training Assistant/WIOA Technical Specialist will function as the principal administrative and procurement support for the Maritime Training Center. This position will be the initial point of contact for the center working the reception desk and phone. This role includes providing WIOA support and services for the workforce training participants within the center.

This Maritime Training Assistant/WIOA Technical Specialist will function as the principal administrative and procurement support for the Maritime Training Center. This position will be the initial point of contact for the center working the reception desk and phone. This role includes providing WIOA support and services for the workforce training participants within the center.

QUALIFICATIONS REQUIREMENTS

EDUCATION AND/OR EXPERIENCE

Bachelor’s Degree preferred; Associate degree or equivalent combination of industrial education and business experience accepted.

  • Bachelor’s degree or higher required with major course work in public administration, business administration, community services, or a related field.

  • Work Experience: Applicants should have 10+ years’ experience in business or education setting.

  • Excellent organizational, interpersonal, oral, and written communication skills.

  • Ability to accomplish tasks, meet deadlines, and ability to learn and interpret policies and procedures.

  • Valid driver’s license and ability to travel off-campus.

ESSENTIAL DUTIES AND RESPONSIBILITIES , include the following. Other duties may be assigned.

  • Maintain knowledge of diversity-related issues, legislation, and best practices.

  • Provide administrative support to the Maritime Training Center by developing, editing, and distributing reports, presentations, and other correspondence.

  • Maintain and publish workforce training calendar, create courses, and schedule instructors using variety of LMS systems.

  • Establish and maintain storage system for departmental records.

  • Obtain and manage departmental purchasing card. Serve as the spend initiator for the Maritime Training activity.

  • Purchase and pick up food and other supplies as needed. Coordinate and book hotel rooms for training participants.

  • Maintain database/listing of Business and Industry Contacts, program and participant success stories.

  • Monitor budget obligations and expenditures to ensure alignment with WIOA goals and financial guidelines.

  • Manage and process invoices and financial documentation related to training activities.

  • Conduct thorough analysis to assess the suitability of candidates for training placements.

  • Facilitate group sessions and eligibility required information in a timely manner.

  • Enter training enrollments into MS Works System and track participants in a timely manner.

  • Ensure ongoing communication and support for both participants and industry partners throughout the placement process.

  • Track and report monthly WIOA training services participants.

  • Follow-up with WIOA training services participants according to the performance measurement standards of the subaward.

  • Assess participants' eligibility for WIOA participants opportunities in accordance with WIOA program guidelines and industry requirements.

  • Provide guidance and support to participants and industry partners regarding eligibility criteria and program expectations.

  • Address any issues or concerns promptly and proactively to maintain positive relationships and program success.

  • Perform all other duties as assigned

Specific vision abilities required by this job include close vision and the ability to adjust focus.

Ability to work nights and weekends. Ability to move and set-up training equipment and materials.

WORK ENVIRONMENT

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The noise level in the work environment is usually moderate, and the employee is required to perform job responsibilities in the outdoors and off site. Training is also conducted outside on low ropes course in varying climatic conditions.
