Early Intervention Training Program

Job Summary

Primary duties include setting priorities, implementing projects, collecting and maintaining program data, coordinating available resources, communicating and collaborating with team members within and outside the university system, oversight and planning for material and space needs for EIC and organizing and implementing projects and associated timelines.

Duties & Responsibilities

Planning, oversight & coordination of EIC Activities

  • Develops systematic approach and maintains efficient and effective daily workflow in the library office for the Illinois Early Intervention Clearinghouse (EIC).
  • Responsible for data collection, maintenance, and basic analysis related to EIC information requests, event registration, interpretation requests, and surveys.
  • Responsible for implementing program priorities, setting goals and objectives for library office of the EIC.
  • Serves as an integral part of the decision-making process and EIC team.
  • Recommends changes based on continual program evaluations as well as contributes feedback on any existing program challenges or barriers.
  • Assist the Project Director and team in rolling out a brand new statewide early intervention Digital Interpretation Service
  • Assist with research and literature review related to the field of early intervention as requested by the EIC Director on behalf of the Bureau of Early Intervention.
  • Work closely with EIC team members and vendors to develop and document procedures and processes that meet the needs of the Early Intervention Clearinghouse for optimal accuracy and efficiency.

Resource coordination and management

  • Coordinates and maintains timeline for achieving program goals and deliverables for the EIC.
  • Coordinate timeline and tasks related to maintaining relevant and accurate information on the EIC website through and ongoing review process including adding and removing relevant video and weblinks to the Central Directory and resource lists available on the EIC web site through the adding of materials to resource guides and relevant topical posts.
  • Responsible for logistics regarding meeting planning including providing meeting reminders, Zoom links, booking interpretation if needed, confirming attendance, etc.
  • Manage the registration and survey processes for EIC events through existing software platforms such as the University WebTools program.
  • Coordinates and maintains reproduction, printing and delivery schedule for EIC marketing resources and materials.
  • Responsible for all EIC shipping needs including USPS service, Campus Mail service and United Parcel Service (UPS) for the EIC; preparing labels, tracking deliveries and returns.

Collaboration and personnel oversight and support

  • Serves as the EIC resource person, referral agent and acts as a liaison to public and university groups, expanding internal and external program development.
  • Participates in recruiting and selecting of new staff members and appraising staff and student performance.
  • Oversees and reviews work for extra help and academic hourly employees, as well as undergraduate and graduate students.
  • Provides leadership, communicates commitment and sets expectations for staff, students and vendors.
  • Collaborates with the EIC Director, as needed, to assist with processing new books and materials for the library including property stamping items, placing barcode stickers and printing labels.
  • Collaborates with the EIC Assistant D rector, as needed, to assist with the distribution of tech loan devices including confirming shipping addresses, confirming delivery of materials, requesting return of materials, etc.

Minimum Qualifications

  • Bachelor\'s Degree and demonstrated expertise with standard office technology (Microsoft Office suite), including Microsoft Word and Excel and Adobe Acrobat Pro.
  • 2 years demonstrated work experience in an office environment

Preferred Qualifications

  • Experience working within a library, early childhood center or university setting.
  • Experience working as an office manager or service coordinator.

Knowledge, Skills and Abilities

Experience managing multiple tasks with varying timelines, experience supporting/supervising hourly staff and students, demonstrated expertise with standard office technology (Microsoft Office suite), survey tools.

Demonstrated ability in decision-making, strong written and oral communication skills, strong interpersonal relationship skills, including the ability to interact effectively with professionals and families, attention to detail, adaptability, and dependability.

Proficiency with Microsoft Office 360.

Ability to multi-task and prioritize while maintaining a welcoming and personable demeanor.

Ability to work independently and learn quickly.

Effective time management skills.
