JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Penn State College of Engineering (https://www.engr.psu.edu/) (CoE) is comprised of 12 departments, 330 faculty, 320 full-time staff, 8,200 undergraduate, and 1,500 graduates, occupying approximately 950,000 assignable square feet in 40+ buildings both on and off the University Park campus. In addition, the College is wrapping up Phase 1 of a large capital plan project to update facilities: Engineering Design and Innovation (EDI), Engineering Collaborative Research and Education (ECoRE), and Sackett, while incorporating shared resources. The Facilities Representative - Advanced Professional will be primarily responsible for facilities-related activities associated with the Earth and Engineering Science Bldg., the Research West Bldg., Hallowell, and other shared buildings occupied by the Engineering Science and Mechanics Department and the Nuclear Engineering Department.

This position is an essential component of the CoE Facilities team in that it contributes to its day-to-day operations and functions autonomously in the absence of the Facilities Manager and the Safety and Security Officer. The functions of this position impact not only the buildings occupied by the Engineering Science and Mechanics Department and the Nuclear Engineering Department, but the College and University as well, as it works closely with professionals across campus to support various projects, programs, work orders, and events. This position serves as a primary contact to many constituents across the University and the College, including OPP, EHS, ENCS, IT, Transportation Services, and Finance.

The successful candidate will report to the CoE Facilities Manager and will be responsible for stewardship of day-to-day facilities activities, including:

  • Serve as the primary point of contact and liaison between the Office of Physical Plant (OPP) and the College of Engineering to coordinate, facilitate, and negotiate the progression of work assignments, emergency maintenance, and utility shutdowns to minimize impacts on college operations.

  • Investigate and resolve facilities-related issues.

  • Identify areas for improvement and interact with internal and external constituents to troubleshoot issues and propose and implement solutions.

  • Assist with the coordination of renovation and construction projects for the College, including decision-making and communication with project managers and outside contractors.

  • Work with OPP, ENCS, College IT, and external constituents to coordinate office and lab moves, the impact of renovations, and space reassignments.

  • Submit and approve requests utilizing Workflow. Submit and monitor work order requests through EZRequest.

  • Attend Job Conferences and monthly meetings with the CoE Facilities Team, OPP project managers, and Area Supervisor.

  • Assist with monitoring and reviewing the facilities' budgets and financial transactions.

  • Serve as the Department’s facility access coordinator in the processing of key and access requests.

  • Serve as a liaison to the College Safety Officer.

  • Manage the College's utilization of the CollegeNET Reservation system (25Live, Office365, Etc.).

  • Maintain, update, and ensure the accuracy of space utilization data in the Facilities Information System (LionSpace FIS) for space assigned to the Departments.

  • Coordinate the management of property inventory across the College, manage the transfer of furniture and equipment to Lion Surplus or other departments, and initiate and process Asset Management forms in SIMBA, as required.

  • Assist the University Parking Office and the Department with departmental permit allocations, special requests, and parking issues.

Requirements and Qualifications:

This position requires a bachelor's degree and 3+ years of relevant experience, or an equivalent combination of education and experience.

The successful candidate for this position will have a diverse and demonstrable background in facilities management, possessing knowledge of:

  • Delivery methods for routine maintenance and renovations.

  • Interpretation of construction contract documents, construction methods, and materials.

  • Project cost estimation and scheduling, as well as safety and security requirements.

  • Contractual and regulatory compliance.

  • Budget management.

  • Facilities-related computer systems (i.e. e-Builder, LionSpace FIS, SIMBA, Webspace, etc.).

  • University/OPP policies, procedures, and culture.

Excellent interpersonal and communications skills, strong team and collaborative work abilities, adaptability, and ingenuity are also key qualities.

The salary range for this position, including all possible grades is:

$61,800.00 - $89,600.00
