JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Penn State University Police and Public Safety Department (UPPS) is responsible for protecting and serving more than 100,000 students, employees as well as visitors at 22 campuses located throughout Pennsylvania. UPPS is a cohesive and centralized department with sworn police officers who have full law enforcement authority serving the 22 campuses. Headquarters is at the main campus location, University Park. In an effort to support the University Park campus, the team is seeking an Administrative Support Assistant - Intermediate Support to join our team.

University Police and Public Safety is looking for a well-rounded Administrative Support Assistant to provide assistance to the District Commander overseeing police operations at the University Park campus. This position is a central link connecting the Penn State Police Department with various Local, State and Federal policing agencies, outside vendors, University-wide departments, as well as Penn State personnel to include students, faculty, and staff members.

Responsibilities will include a variety of administrative functions such as:

  • Coordinating monthly payroll submissions for the district to include bi-weekly and monthly employees via Workday

  • Maintaining supervisor meeting schedules

  • Coordinating travel arrangements

  • Ordering supplies and equipment

  • Purchasing responsibility as well as the reconciliation of all purchases made

  • Establishing and maintaining office files and providing general office support to the district and department staff

  • Providing support for special events, conferences, and trainings

  • Providing direct support for football operations to include preparation leading up to and working on site during home football games

  • Assisting with lost and found to identify owner and arrange for return of property or disposal of property through University procedures

    This position will work in various University databases and software programs including, SIMBA (System for Integrated Management, Budgeting, and Accounting), Workday/Worklion (our HR Information System), SAP Concur, and scheduling software.

    The successful candidate:

  • Must be detailed oriented including the ability to apply University and department policies as well as the collective bargaining agreement

  • Will be able to multitask as well as meet strict deadlines for payroll purposes

  • Must have excellent written and verbal communication skills, and the ability to work with minimal supervision

  • Has the ability to use good judgment when dealing with sensitive and confidential information

  • Must have excellent skills utilizing Microsoft Office programs such as Word, Excel, Teams and PowerPoint

Requires a minimum of a high school diploma/GED or Vocational Training/Degree plus 2 years of relevant experience or an equivalent combination of education and experience.

A fingerprint background check will be required to work within the Police facility in addition to standard background checks.

This position offers a flexible work arrangement that combines remote and on-campus work. Questions related to flexible work should be directed to the hiring manager during the interview process.

The pay range for this position, including all possible grades is:

$38,300.00 - $55,500.00
