JOB DESCRIPTION AND POSITION REQUIREMENTS: The Operations Division of the Office of Physical Plant (OPP) in Finance & Business is seeking a highly motivated, positive, and team-oriented Administrative Assistant (Intermediate or Senior Support).
This position will report to the Operations Administrative Support Manager and be responsible for assisting the OPP Service Garage, Solid Waste, Equipment, and Labor Services Unit within OPP.
This position will have several key responsibilities:
Customer service to a large organization and external vendors
Budget/Billing processing and reporting
Technical/functional expert on garage-specific software
Ordering parts and maintaining physical inventory
Assign and maintain fuel cards and process billing for fuel
Education and Experience
Familiarity with Technical Service employees and the bargaining contract is highly desired.
Proficient knowledge of the following software, and the ability to easily learn additional software, is preferred:
Microsoft 365 (Outlook, Excel, Word, Teams, OneDrive/SharePoint)
SAP Concur
SIMBA
Adobe Acrobat
Zoom
This position will be filled at an intermediate support level or senior support level, depending upon the successful candidate's competencies, education, and experience. Requires aHigh School Diploma or General Equivalency Diploma (GED)or higher plus2years of related experience, or an equivalent combination of education and experience for an intermediate support level. Additional experience and/or education and competencies are required for higher-level jobs.
The successful candidate will be a self-starter, have excellent communication skills, a positive attitude, and the desire and ability to work well with a diverse team. The candidate must be well organized, have keen attention to detail and be dedicated to helping others. Confidence in learning new software programs, commitment to meeting deadlines, and the ability to switch priorities as well as handle multiple interruptions easily is a must.

The salary range for this position, including all possible grades is: $38,300.00 - $61,000.00
