JOB DESCRIPTION AND POSITION REQUIREMENTS: The Office of Entrepreneurship and Commercialization (OEC) under the Office of the Senior Vice President for Research is looking for an enthusiastic and meticulous individual to join our team as an Administrative Assistant. This full-time position is crucial for supporting the facilities and services at the Eric J. Barron Innovation Hub. Reporting to the Director of Administration, the Administrative Assistant will perform a variety of tasks to ensure smooth operations.

Key Responsibilities: Welcome and manage visitors to the 3rd floor of the Eric J. Barron Innovation Hub. Act as the first point of contact for internal and external inquiries via email, in-person, and phone interactions. Communicate effectively with visitors and address questions related to OEC services. Organize and schedule meetings for guests, interviewees, and staff. Assist with team projects involving OEC staff and research units. Support scheduling, personal calendar management for directors and managers, and travel arrangements. Register staff for professional development sessions or conferences. Coordinate fleet car reservations and travel arrangements. Handle mail, packages, and other deliveries for the OEC. Lead planning and facilitation of support activities for the OEC such as the OEC Quarterly Meetings. Respond to routine and moderately complex questions regarding policies, processes, and procedures. Create and maintain files, databases, and reports. Generate, prepare, and maintain reports and spreadsheets, and authorize payment processing. Compile information to develop agendas, meeting materials, and reports. Arrange meetings and coordinate special events, conferences, and other functions. Coordinate and provide tours of the Eric J. Barron Innovation Hub. Serve on various committees, prepare agendas, and take minutes. Monitor and maintain the budget, process financial transactions such as invoices and PO's, track expenditures, and assist with budget preparation. Maintain inventory, order office supplies, arrange equipment maintenance, and process work orders. Support and coordinate special events; reserve spaces, develop itineraries, prepare materials, coordinate team efforts, and liaise with vendors. Supervise wage payroll employees, work studies, and other non-exempt full-time personnel. Establish and assign priorities, ensure schedules are maintained and deadlines are met. Perform non-routine and confidential administrative duties as needed. Coordinate work assignments for department/unit support staff to ensure efficiency. Assist in supervising and training students and assigned support staff. Serve as a resource on office equipment, software applications, and information processing procedures. Serve as the back-up to the Front Desk Office Assistant.

Education and Experience: A minimum of an Associate's degree or higher and 4+ years of related experience, or an equivalent combination of education and experience. Demonstrated ability to work with various stakeholders and knowledge of administrative duties and financial transactions.

Additional Information: This is a full-time, in-person position located at the Eric J. Barron Innovation Hub on Burrowes Street in downtown State College. Flexible schedule required, with occasional evening work.

The salary range for this position, including all possible grades is: $42,100.00 - $61,000.00
