Job Description

Job Title: Purchasing Coordinator

Summary: Perform s a range of data management duties including part creation and maintenance, costing data entry, running reports, creating spreadsheets, gathering data, etc. This position also relieves manager of clerical work and minor administrative and business details by performing the following duties.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Maintaining the Corporate Master Part File. Assists in the creation of new part descriptions using Manufacturer and Model nomenclature and notifies the requestor of the new part number and part description. This will include researching the item and obtaining a cut sheet from the plant or online.

  • Composes and types routine correspondence.

  • Provides Logistical Support for the Purchasing Department.

  • Makes copies of correspondence or other printed materials.

  • Prepares outgoing mail and correspondence, including e-mail and faxes.

  • Processing price update requests from the plants.

  • Being aware of our existing purchasing agreements in order to process either new part or price update requests.

  • Process vendor invoices.

  • Corporate vendor communications regarding negotiated items and pricing

  • Manage corporate office supplies and regularly stock office and kitchen supply items as well as order special-requested items

  • Distribute departmental mail.

Qualifications

  • Takes ownership and acts to maintain compliance with corporate contracts, agreements, and other internal documents

  • Analytical thinking and the ability to determine logical next steps

  • Familiarity with manufacturing industry a plus

  • Experience with construction or project management software a plus

  • Ability to navigate the system and utilize its search functions to reduce redundancies

  • Ability to research products online through manufacturer or retailer resources

  • Keen attention to detail

  • Organization skills

  • Ability to prioritize

  • Clear verbal and written communication skills

Education and/or Experience Associate's degree (A. A.) or equivalent from two-year College or technical school; or one to two years directly relevant job experience.
