Administrative Assistant of Development The Administrative Assistant of Development serves as the backbone of the operation by overseeing all administrative processes in place to manage the Mission’s fundholder relationships. The position supports the grant development team by providing administrative assistance, coordinating project activities, and ensuring efficient and effective operations. Additionally, the Administrative Assistant of Development helps coordinate development events and programs and schedules appointments for the agency’s Leadership Team. This role requires a high degree of organization, attention to detail, and the ability to manage multiple tasks simultaneously. Knowledge of grant development is essential and nonprofit experience is preferred. What it’s like to work at the Rescue Mission of Trenton: The Rescue Mission of Trenton was founded in 1915 and is a non-profit organization that helps rescue people from themselves and their situations. Our dedicated staff in the Shelter and our Behavioral Health Unit offer care, support and encouragement to all that reside here. We value dignity, communication and helping each of our clients reach their potential. Clients/residents are assisted by staff with treatment options, medical help, job placement, financial planning, education, counseling and mental health treatment. Our staff works diligently with the clients to get ID, an income and the things necessary to help them with transitioning to stable housing Position Work Details:

  • 1 Administrative Support:

  • Assist preparation, formatting, and submission of grant proposals and reports.

  • Maintain accurate and up-to-date records of grant-related activities.

  • Schedule meetings, prepare agendas, take meeting minutes.

  • Handle correspondence and communication with internal/external stakeholders.

    1. Project Coordination:
  • Coordinate collection of information from departments for grant proposals.

  • Track deadlines and ensure timely submission of all grant-related documents.

  • Assist in the development of timelines and work plans for grant applications.

  • 3 Research and Data Management:

  • Conduct research on potential funding sources and grant opportunities.

  • Maintain a database of grant opportunities and funders.

  • Collect, organize, and analyze data required for grant proposals.

  • 4 Communication and Relationship Management:

  • Serve as a point of contact for grant-related inquiries.

  • Coordinate/facilitate communication between other departments.

  • 5 Compliance and Reporting:

  • Ensure compliance with all grant requirements and regulations.

  • Prepare and submit progress reports and other documentation as required by funders.

    Candidates Who Will Be Successful Bring The Following:

  • Knowledge of grant writing and funding processes

  • Nonprofit administrative experience

  • Excellent interpersonal and communication skills and ability to interact professionally with a wide range of people, colleagues, members, clients and external organizations

  • Strong working knowledge of SharePoint; spreadsheets and database systems

  • High degree of accuracy and attention to detail in the performance of administrative tasks

  • Ability to work efficiently, meet deadlines, and achieve goals

  • Strong Computer knowledge and skills

    Qualifications For Position:

  • Education: High School Diploma/GED required, Bachelor’s degree preferred

  • Experience: Minimum of three (3) years of intermediate to advance secretarial and/or administrative experience Excellent written and verbal communication skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)/other relevant software.
