Robert Half Assistant Facilities Manager in Toms River, New Jersey

Description

We are seeking an Assistant Facilities Manager to join our team based in Cambridge, MA. The role primarily involves overseeing maintenance assignments, coordinating with various teams, managing vendor relationships, and ensuring quality service delivery to clients. This position offers a long-term contract employment opportunity.

Responsibilities:

• Develop and maintain positive relationships with the greater facilities and operations team, including lab managers, technicians, and third-party service providers.

• Oversee and coordinate maintenance and repair work assignments performed by technicians, vendors, and contractors.

• Respond to client inquiries and concerns, ensuring timely and quality service delivery, and follow up with clients to ensure satisfaction.

• Conduct regular facilities inspections and prepare reports on the findings.

• Coordinate and manage changes in the workspace as required.

• Assist in the preparation of operating and capital budgets, ensuring accuracy and efficiency.

• Manage vendor relationships, including training vendors on work order and billing procedures.

• Process invoices and ensure proper cost center coding.

• Review periodic reports, including financials, and explain variances, working with the finance team to correct errors.

• Utilize PC and/or mobile phone for work order system, email processes, and procedure training.

Requirements

• Demonstrated proficiency in using Microsoft Office Suites and Microsoft Outlook

• Experience in facilities management and operations

• Knowledge of financial processes including billing, invoice, and variance analysis

• Excellent leadership skills and ability to train team members

• Experience in project management and implementing procedures

• Familiarity with software such as 'About Time' and 'HealthCare.gov'

• Proficiency in using the internet and mobile devices

• Experience in vendor relations and maintaining quality service

• Ability to prepare reports and perform coding tasks

• Knowledge of capital management and facilities

• Customer satisfaction-oriented approach

• Familiarity with PCOS.
