Vanderbilt University Program Manager in Tennessee

The Meiler laboratory is seeking a program manager to coordinate large research funding projects, maintain multi-site collaborations, maintain project budgets, submit quarterly reports to government agencies, and organize site visits.

The Meiler laboratory is an international lab with a focus on computational structural biology, and we have collaborators across the globe. The new program manager would support Dr. Jens Meiler and his team of research assistant professors.

About the Work Unit:

Chemistry is the intellectual home to over 250 students, post-docs, and faculty members working in a

wide range of specializations, as well as the interdisciplinary fields of chemical biology, structural biology,

molecular toxicology, materials chemistry, and nanotechnology. Close collaboration with the School of

Medicine, School of Engineering and other departments within the College of Arts and Science particularly

the departments of biological sciences and physics—provides valuable opportunities to not

only excel in the traditional disciplines of chemistry but also investigate the many ways that chemistry

intersects with other fields.

Duties and Responsibilites:

  • establishing program website and its maintenance including content creation,

  • coordinating logistics for on-site workshops and meetings at different institutions,

  • communicating program and logistical information to faculty mentees, mentors, PIs, and advisors,

  • coordinating quarterly meetings, travel logistics, and other program activities,

  • creating and disseminating materials for the program (eg. Website, calendar, etc.),

  • preparing and submitting expense reports and reimbursements,

  • identifying resources for various aspects of the program and its activities,

  • ensuring completion of necessary program requirements by team members, mentees, mentors, or other collaborative parties,

  • maintaining budgets and assisting with grants management, coordinating and assisting with materials for agency progress reporting,

  • maintain program databases and listserv

  • and other duties as the projects require

Other Job Requirements: Occasional nights and weekends and travel is necessary.

Qualifications

  • Bachelor’s degree from an accredited institution of higher education

  • A minimum of 3 years of program administration or coordination and/or grants manager experience is necessary.

  • Strong organizational and planning skills, ability to successfully manage multiple projects and meet deadlines

  • Self-motivated with a positive and professional approach

  • Exceptional interpersonal skills with the ability to interact with faculty and other staff and individuals of various backgrounds and cultures

  • Ability to work independently and collaboratively as part of a team

  • Responsive, flexible and adaptable to the changing needs of the program

  • Excellent written and verbal communication skills and organizational skills

  • Established computer skills and proficient use of Microsoft office Suite is necessary, including Microsoft Excel, Office, Outlook, and Powerpoint and with Google tools

  • Experience with managing budgets and calculation of budget expenses and projections

  • Experience with website maintenance is desired

Supervisory Relationships:

This position does not have supervisory responsibilities. This position reports administratively to the Chemistry Department Administrative Manager and functionally to Dr. Jens Meiler, Professor of Chemistry.
