Job Summary

The Purchasing and Inventory Control Agent is responsible for sourcing, purchasing, and managing inventory for the organization. This role involves negotiating with suppliers, ensuring the quality of materials and products, maintaining strong relationships with vendors, and optimizing procurement processes to meet the company’s needs and budget. The position will work closely with various departments to understand requirements and ensure timely and cost-effective acquisition of goods and services.

Duties and Responsibilities

  • Sourcing and Procurement:

  • Identify and evaluate potential suppliers based on quality, price, reliability, and service.

  • Negotiate contracts, pricing, and terms with suppliers to secure favorable deals.

  • Manage supplier relationships to ensure continuous improvement in service and quality.

  • Inventory Management:

  • Monitor inventory levels and ensure timely replenishment to avoid shortages.

  • Coordinate with warehouse and logistics teams to ensure efficient inventory flow.

  • Analyze usage patterns and forecast future inventory needs.

  • Order Management:

  • Issue purchase orders and track delivery schedules to ensure timely receipt of goods.

  • Resolve any discrepancies in orders, including pricing, quality, or quantity issues.

  • Maintain accurate records of purchases, contracts, and supplier agreements.

  • Cost Management:

  • Conduct cost analysis and implement cost-saving initiatives.

  • Monitor market trends to identify opportunities for cost reduction.

  • Compliance and Risk Management:

  • Ensure all procurement activities comply with company policies and industry regulations.

  • Evaluate and mitigate risks related to supply chain disruptions or supplier reliability.

  • Manage and report on supplier performance, ensuring compliance with contract terms.

  • Collaboration:

  • Work closely with the product development, production, and quality assurance teams to understand and meet material and component requirements.

  • Coordinate with finance for payment processing and budget tracking.

    Required Skills and Abilities:

  • Strong negotiation and contract management skills.

  • Excellent communication and relationship-building abilities.

  • Excellent attention to detail.

  • Proficiency in Microsoft Office Suite and related software.

  • Excellent time management skills with a proven ability to meet deadlines.

  • Ability to work independently and make decisions in a fast-paced environment.

  • Must be flexible and willing to work the demands of the department which may be subject to evenings, weekends and holidays.

    Education and Experience: 

  • Bachelor’s degree in business, Supply Chain Management, or related field.

  • 2-5 years of experience in purchasing, procurement, or supply chain management.

    Physical Requirements :

  • Prolonged periods of sitting at desk and working on a computer .

  • Must be able to lift up to 15 lbs. at a time .

  • Primarily office-based with occasional travel to suppliers or trade shows .

  • Fast-paced environment with strict deadlines .

  • Exposed to normal office environment, attached to manufacturing warehouse.

  • Ability to interface within sales, manufacturing and operations areas.
