Fairleigh Dickinson University Administrative Coordinator for Occupational Therapy Program in Teaneck, New Jersey

Job Summary:

The Administrative Coordinator for the Occupational Therapy Program assumes a central and unique role in the office by supporting the Program Director, Academic Fieldwork Coordinator, Doctoral Capstone Coordinator, and the faculty within the Occupational Therapy Program. Specifically, this position provides advanced and diversified administrative and secretarial support services to the School, one Program Director, and other faculty. Responsibilities include but are not limited to: communication of department policies and procedures; coordinating the daily activities of the School; monitoring and maintaining the department budget records; providing research in support of statistical analyses; assisting with student and faculty recruitment efforts; maintenance of student, course, program, and confidential personnel files; serving as liaison with other FDU departments; supporting fieldwork and capstone programming, and oversight of student workers. The incumbent is expected to work independently and collaboratively on day-to-day tasks and special short- and long-term projects, as assigned by the Department Chair, and assume a leadership role in carrying out such projects.

Required Qualifications:

  1. High School Diploma or GED required. Completion of commercial courses related to secretarial, general office and administrative skills, or demonstrated equivalency through work experience. College credits preferred.

  2. A minimum of three years of experience required in a complex academic or corporate administrative environment including office oversight responsibilities, experience with administrative record keeping, and demonstrated accounting and/or bookkeeping skills.

  3. Proficiency utilizing computer systems for word processing, spreadsheet and data management applications. Must possess working knowledge of a variety of software applications and systems, such as Microsoft Windows, Microsoft Office (Word, Excel, PowerPoint and Access), Email, the Internet, networks, and other relevant software applications. Knowledge of Datatel a plus. Demonstrated ability to quickly learn new programs/applications which support the health science programs.

  4. Excellent interpersonal and written and oral communication skills, problem-solving ability, and organizational skills. Must be well organized and collaborative in carrying out responsibilities in a time-efficient manner.

  5. Ability to work independently and perform daily and routine tasks with minimum supervision.

  6. Ability to manage sensitive issues with decorum and confidentiality.

  7. Employment is contingent upon a satisfactory background check. Candidates for hire will be required to sign a waiver authorizing the background check and produce a Social Security Card.
