    Employees of the Department of Financial Services are paid on a monthly pay cycle.

    MINIMUM QUALIFICATIONS FOR THIS POSITION INCLUDE THE FOLLOWING REQUIRED ENTRY LEVEL KNOWLEDGE, SKILLS, AND ABILITIES:

  • Knowledge of correct spelling, punctuation, and grammar usage.

  • Knowledge of office procedures.

  • Knowledge of personal computers.

  • Knowledge of administrative and clerical procedures and systems.

  • Knowledge of computer software including applications.

  • Skill of handling telephone calls in a courteous and efficient manner.

  • Ability to key inspection reports and applications, invoicing and issuing certificates.

  • Ability to handle mass mailings.

  • Ability to meet production and quality targets.

  • Ability to organize files and other records.

  • Ability to prepare reports as requested and in a timely manner.

  • Ability to establish and maintain effective working relationships with others.

    BRIEF DESCRIPTION OF DUTIES :

  • Enter activities into the Citizen Serve database such as inspections, boiler inquiries, quality controls audit, documenting quality issues; data report submittals, name changes, et al. Continually strives to improve quality and develop more efficient methods for assigned tasks.

  • Maintain documents and boiler files in accordance assigned retention schedules as described in AP&Ps, statutes, and other authority; track the distribution of legal documents; compile weekly/monthly reports; updates and revise approved forms; maintains various electronic and manual record filing systems, maintains an inventory list of assigned equipment.

  • Prepare invoices and issue approved certificates of compliance for boilers inspected by deputy inspectors and authorized inspection agencies. Handles all request from Finance and Accounting and Process Daily Deposit Receipts to verify upload was successful in the Citizen Serve. Receives and processes inspection reports, correspondence, and other documents; locates, copies, and transmits documents in response to the Freedom of Information Act requests.

  • Maintains current rules related to the boiler safety program; provide administrative supports for hearings, workshops, rule language updates. Performs other duties as required by the Chief Inspector and senior management.
