MINIMUM REQUIREMENTS:

A bachelor's degree from an accredited college or universityandtwo (2) years of administrative experience.

A master's degree from an accredited college or university can substitute for one (1) year of the required experience.

Administrative or clerical experience can substitute on a year-for-year basis for the required college education.

An equivalent combination of education and experience which equals six (6) years can substitute for the above requirements.

Requires possession of a valid Driver’s License.

JOB DUTIES:

Provide administrative support to the Bureau Chief of Seafood and Agriculture Marketing. Duties include answering and directing phone calls, providing excellent customer service, and assisting Bureau Chief with managing office and organizing bureaus daily operations by attending meetings, learning programs, research, tracking promotions, answering, and directing calls for Bureau Chief, creating spreadsheets and reports and ordering office. Handle routine email communications to “Fresh From Florida” stakeholders both internal and external. Coordinate preparations of purchase requisition and purchase order documents and Summary of Contractual Services (payments) forms. Assist Bureau Chief and staff with organizing and booking travel arrangements. Prepare expense vouchers and travel authorizations for domestic and foreign travel.

Participate and assist with partnership development and trade show planning for national and regional shows. Assist Bureau Chief and managers with coordination of consumer and retail promotions, recruiting participants, coordinate logistics routing email and phone communications as needed. Travel occasionally to assist with promotions and campaigns. Assist traveling staff with communications and general needs while out of the office.

Responsible for Salesforce inputs and creating retail reports for “Fresh From Florida” promotions, Track promotions and communication of results.

Perform other related duties as assigned, including providing occasional support for other sections in the division.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Knowledge of administrative and office principles and practices.

  • Knowledge and experience with MS Word, Outlook, Excel and PowerPoint.

  • Knowledge of the methods of data collection.

  • Knowledge of the principles and techniques of effective communication.

  • Ability to collect, evaluate and analyze data relating to administrative functions such as accounting, personnel, purchasing or report writing.

  • Ability to prepare correspondence and administrative reports.

  • Ability to understand and apply applicable rules, regulations, policies and procedures.

  • Ability to utilize problem-solving techniques.

  • Ability to work independently.

  • Ability to plan, organize and coordinate work assignments.

  • Ability to communicate effectively.

  • Ability to establish and maintain effective working relationships with others.
