Title: Senior Administrative Assistant
Unit: Office of Research Programs (ORP)
Salary: $50,000 - $53,000 annual DOQ
Brief description of duties: This position provides administrative and secretarial support to the Vice President for Research (VPR) and the Office of Research Programs team with various tasks including:
Administrative Support
Performs a variety of activities in support of ORP functional areas such as proposal submission, finance, purchasing and human resources
Assist department staff with grant proposal preparation as needed
Works with SUNY Research Foundation business systems to generate queries and reports
Analyzes and summarizes data using Excel
Provides general administrative support to VPR, including scheduling, email management, and written communications on behalf of the VPR
Responsible for reception of guest walk-ins and incoming phone calls
Office Management
Hire and supervise student work-study staff
Maintain office supply inventory
Manage office procurement card and procurement card reconciliation
Manage department communications for VPR and staff
Program Support
Support the administration of a variety of internal and external award programs, workshops, and campus research visibility activities
Liaison with the Office of Communications regarding research outreach, press releases, and managing the ORP social media accounts
Administrative coordination between VPR and research-related compliance and governance committees
Provide other program support as directed
Job Requirements:
Required Qualifications: Minimum of 3 years progressive experience in an office setting or a combination of higher education and experience. Advanced skills with complex computer applications (Microsoft products and software, e.g. Outlook, MS Teams, Word, Excel). Highly organized and detail oriented, strong communicator (verbal and written), efficient at managing time, customer focused, technologically savvy, problem solver.
