Robert Half Administrative Coordinator in Syracuse, New York

Description We are offering a contract to hire employment opportunity for an Administrative Coordinator in SYRACUSE, New York. In this role, you will be part of a CPA firm, providing essential support in various administrative duties and coordinating tasks to ensure smooth operations. This position involves working with various software, managing client communication, and assisting with the preparation and processing of financial documents.

Responsibilities:

• Generate weekly, monthly, and quarterly reports as needed by various departments

• Oversee and control client communication, ensuring timely and accurate information exchange

• Handle the processing of Form 1099s, tax returns, tax return extensions, and notices

• Aid in the creation, proofreading, editing, and processing of documents, including financial statements, proposals, and other correspondence

• Offer client support, guiding them on how to use our various software effectively

• Manage the sorting, delivery, and handling of incoming and outgoing mail and shipments

• Organize and set up meetings, ensuring all resources and equipment are prepared

• Assist in post-meeting cleanup and ensuring spaces are tidy and ready for the next use

• Contribute to special projects and tasks as assigned Requirements • Minimum of 2 years experience as an Administrative Coordinator or similar role within a CPA firm or other related industry

• Proficiency in ADP - Financial Services software

• Experience in designing and implementing Banner Ads

• Familiarity with Cisco Webex Meetings for coordinating remote meetings

• Proficiency in using Concur for travel and expense management

• Experience in CRM software for managing client relationships

• Knowledge of Budget Processes within the industry

• Proficiency in Calendar Management for scheduling meetings and appointments

• Excellent Communication skills, both written and verbal

• Experience in supporting C-Suite executives

• Ability to create and manage Department Reports

• Experience in distributing reports within an organization

• Exceptional Customer Service skills, with a focus on servicing internal stakeholders.
