       License and Certification Qualifications: None required.Education Qualifications: High school diploma or equivalent required. Bachelor's degree in related field preferred.Experience Qualifications: Ten years administrative assistant or equivalent acceptable experience required. Technology related work experience preferred.Skills Qualifications: Ability to type with speed and precision to compose, edit and proof-read documents using correct grammar, spelling and punctuation; ability to follow oral and written instructions quickly and accurately; advanced computer skills including proficiency with Microsoft Outlook, Word, Excel, and PowerPoint; demonstrated skills in organization and problem-solving; ability to record and issue meeting minutes; excellent telephone and public relations skills; ability to analyze existing processes and identify areas for improvement; ability to act as a representative of Gwinnett County Public Schools; and ability to work across functional boundaries and interact with employees at all levels of the organization.Primary Responsibilities: Provide administrative support to the Chief Technology and Innovation Officer in the Technology and Innovation Division.1. Perform the administrative duties necessary to support effective operation of the CTIO's Office. a. Maintain an accurate schedule of activities for the Chief Technology and Innovation Officer.b. Manage concurrent tasks effectively and ensure that priorities are complete by deadline.c. Arrange, coordinate, and schedule time and details for travel, conferences, and other planned events locally and elsewhere. d. Advise CTIO on company policies and procedures.e. Handle routine correspondence into and out of the CTIO's Office.f. Handle telephone calls to the CTIO's Office in a professional and efficient manner.g. Prepare various minutes, reports, work orders, e-mail notifications, and purchase orders as needed to maintain efficient and effective operations.h. Develop spreadsheets, graphs, charts, and presentation documents and integrate data from multiple source documents.2. Perform general administrative duties for the Technology and Innovation Division.a. Organize and efficiently maintain filing system and records for the division.b. Update and maintain divisional information databases and organizational charts.c. Act as Local Site Benefits Representative for the division.d. Order department supplies and equipment.3. Perform general financial and accounting duties for the CTIO and Technology and Innovation Division.a. Maintain the annual budget for the CTIO's Office.b. Calculate and prepare reports for financial, accounting, inventory, or other records as assigned.c. Manage reconciliation of corporate purchasing and travel credit cards.d. Maintain leave and payroll records for all direct reports of the Chief Technology and Innovation Officer.4. Communicate with other people in a businesslike, courteous, and efficient manner.a. Act as the division representative both in person and over the telephone.b. Route incoming and outgoing correspondence accurately.5. Supervise the operation of the divisional office. a. Conduct quarterly meetings with the division administrative assistants. b. Assign work as needed to division Administrative Assistant or clerical personnel.c. Monitor materials produced by other staff to ensure accuracy, timeliness, and conformity to system standards.d. Train other personnel in the efficient and routine operation of the division as needed.6. Cooperate with and maintain a positive relationship with all Technology and Innovation Division personnel.7. Cooperate with and maintain a positive relationship with all other school system employees.8. Assist with new projects as assigned.9. Perform other duties as assigned. Physical Demands:While performing the duties of this job, the employee is frequently required to sit for extended periods of time. The employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to touch, handle, feel, and/or reach. The employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds.
