Atlantic Health System Business Office Associate - Foundation in Summit, New Jersey

Overlook Foundation Business Operations Associate

Reports to: Manager, Operations and Reporting

Objective: To provide administrative support for business operations functional areas, direct mail, and annual external grants process.

Responsibilities:

Operations Administration:

• Answer and redirect all calls to the foundation’s main phone line

• Greet foundation guests, and handle incoming mail and packages

• File gift donation paperwork/batches

• Produce monthly parking passes

• Manage office supplies inventory

• Oversee general facility maintenance work orders

• Undertake special projects and assignments as needed

• Assist with preparing direct mailings to donors in house

• Produce donor tribute cards for memorial and honorary gifts

• Manage donor birthday card program

• Provide administrative support to chief philanthropy officer

• Ensure confidentiality of all donor/patient information

Annual external grant process:

With the director of institutional donors, manage review and distribution of incoming community grant requests

• Develop grant proposal checklist

• Prepare and distribute grant packet using ShareFile

• Analyze grant requests to ensure completeness

• Create scorecard and prioritization matrix to help grants committee members evaluate grant requests

• Manage all external community grants communications

With the grants committee chair, schedule and facilitate committee meetings via Microsoft Teams

• Prepare agendas, including amount of grant proceeds for distribution

• Take minutes, maintain list of approved and declined grant applications

• Write report for the chair to present to the foundation board for voting on approval of grant proposals

Qualifications:

• Excellent communication, analytical, and organizational skills

• Ability to work both independently and collaboratively with 13-member team

• Microsoft Office Suite (Word, Excel, PowerPoint) expertise

• Strong team player with exceptionally positive attitude

• Ability to prioritize and reprioritize work on a daily, weekly, monthly basis

Education: BS/BA degree preferred, High School Degree required
