Staff Assistant
Required Qualifications (as evidenced by an attached resume):
Bachelor’s Degree (foreign equivalent or higher). Two (2) years of full-time administrative experience. Experience in office management. Highly proficient, professional experience in word processing, spreadsheet management, electronic messaging and internet applications (Microsoft Word, Excel, PowerPoint, OneDrive, Google Forms, Google Mail, Google Apps, Google Drive, etc.).
Preferred Qualifications:
Master's Degree (foreign equivalent or higher). Additional years of administrative experience. Experience in a higher education environment. Event coordination and web design experience. Experience working with one or more computer systems, such as: Wolfmart, SBU Reporting, SOLAR, 25Live, Avid, SUNY BI, and Modern Campus CMS.
Brief Description of Duties:
This is a full-time position; however, the incumbent will support both the History Department and the Sociology Department, splitting their time equally in each office on a daily basis. Both departments are located in the same building. The Staff Assistant position will provide in-person, individualized administrative support to undergraduate students who have a major or minor interest in History or Sociology across all four years. The Staff Assistant is also an active leader and participant in assisting with the orientation and registration processes, representing both departments at university-wide programs and events throughout the year, developing strategies for academic success, and maintaining accurate student records. This position is responsible for building connections with students, faculty, and staff, and will serve as a liaison to other student-centered support services including but not limited to Academic and Transfer Advising Services, the Undergraduate Colleges, Student Support Team, and the Career Center.
The incumbent must possess the ability to be flexible, as well as outstanding written, verbal, and interpersonal communication skills. The incumbent should also have experience successfully working independently as well as part of a team with a collaborative approach to problem solving. Someone with strong organizational and time management skills with exceptional attention to detail is also highly preferred. The incumbent must possess experience interacting with individuals at various organizational levels. The successful incumbent must possess experience with correspondence/communications.
Duties:
Administrative Support for History and Sociology majors:
Provide administrative support throughout students’ SBU career, including regular communication about courses, major degree requirements, and departmental policies and procedures. This includes one-on-one meetings on campus as well as interacting with students via phone, email, and other communications media that is most helpful for students.
Make sure that the department is aware of students’ course enrollment and academic progress.
Ensure that requirements for the major or minor will be met in time for graduation, and follow-up with students regarding any missing requirements for graduation.
Programs and Events:
Represent the departments at undergraduate major events.
Participate in Orientation, Admitted Student Day, and Commencement.
Collaborate with campus partners and student support services to keep the department informed about their academic success initiatives.
Marketing, Social Media, and Electronic Communications:
Update Brightspace and website for departmental announcements and events.
Create and update social media accounts to publicize programs and events, experiential learning and internship opportunities, reminders about academic deadlines and policies, and more.
Assist in the creation of digital newsletters for alumni, students, and the campus community.
Create both print and digital marketing materials using Canva, FedEx, Pug’s Prints, where appropriate.
General Office Tasks:
Monitor shared email accounts.
Pick-up and distribute mail.
Staff the front desk as needed.
Collect electronic syllabi for each term.
E-file and use OnBase to save undergraduate forms that have been signed by the UPD.
Other duties or projects as assigned and appropriate to rank and departmental mission.
Special Notes:
This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.
In addition to the employee's base salary, this position is eligible for $3,400 UUP annual location pay, paid biweekly.
