Stony Brook University Senior Staff Assistant for Academic Affairs in Stony Brook, New York

Required Qualifications (as evidenced by an attached resume):
Bachelor's degree (foreign equivalent or higher). Three (3) full time years of related administrative experience to include working with faculty appointments. Experience utilizing software such as Microsoft 365, academic software, etc. Proficiency with MS Office and Google Workspace. Advanced proficiency with Excel including formulas and pivot tables. Preferred Qualifications:
Master's degree (foreign equivalent or higher). Experience updating website content. Experience working in a higher education environment. Experience with academic personnel management software and higher education technology systems (e.g., Interfolio). Experience with web-based survey tools to conduct surveys and evaluations (e.g., Qualtrics).Brief Description of Duties:
This position will report to the Assistant Provost for Academic Personnel and will assist with all the academic programs used in the Provost office supporting academic staff and faculty reporting to the Office of the Provost. This position will be involved with training our units in the use of templates and reporting using Interfolio, assist with website management and web-related academic information.

Duties:

  • Administrative Support for Faculty Processes:
    • Review personnel packages for completeness, including reappointments, nominations, and recruitment materials.
    • Maintain tracking logs for HR paperwork, faculty reappointments, and requests to initiate faculty processes.
    • Assist in new faculty orientation with collecting information about new faculty hires.
  • Support for Faculty Management Systems:
    • Manage and assist with academic personnel management systems, including Interfolio, Google Forms, and others.
    • Create and manage workflows for various faculty processes such as recruitment, hiring, and reappointment.
    • Train and serve as point of contact for faculty and academic staff on the use of faculty management systems.
  • Develop and assist in preparation of documentation, reports, and presentations across a variety of projects related to academic personnel and affairs.
  • Manage ad hoc projects and contribute to the overall efficiency and professionalism of academic personnel and faculty affairs operations, completing additional duties or projects as assigned in alignment with rank and unit mission.
  • Other duties or projects as assigned as appropriate to rank and departmental mission.


Special Notes:
This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.In addition to the employee's base salary, this position is eligible for $3,400 UUP annual location pay, paid biweekly.For this position, we are unable to sponsor candidates for work visas.Resume/CV and cover letter should be included with the online application.
