Description

We are offering a long-term contract employment opportunity for an Administrative Assistant with AP/AR experience to join our team in Stockton, California. The primary function of this role is to provide administrative support, manage information requests, perform clerical functions, and act as a communication manager for office operations while processing AP/AR supporting the accounting department.

Responsibilities:

• Perform clerical functions such as managing office supplies, maintaining records management systems and performing basic bookkeeping work.

• Prepare and manage documents including invoices, reports, memos, letters, financial statements, and other related documents.

• Maintain accurate records of corporate documents, files, and reports.

• Handle and distribute incoming correspondence including faxes and emails appropriately.

• Respond to routing inquiries and prepare responses to correspondence.

• Maintain regular contact with maintenance staff to ensure all elements of the property are clean and all needs are attended to.

• Assist in Management Audits and maintain compliance with policies and procedures established for the property.

• Process accounts payable and accounts receivable, and assist with new vendor setup.

• Maintain and update employee, client, and customer contract databases.

• Organize and compile reports for distribution and assist management with monthly reporting.

• Responsible for maintaining the day-to-day relationships with tenant contacts.

Requirements

• Proficiency in Microsoft Excel and Microsoft Word is required

• Excellent customer service and communication skills are essential

• Familiarity with office functions and operations

• Understanding of policies, procedures, and compliance measures in an administrative context

• Experience with accounts payable (AP) and accounts receivable (AR)

• Ability to handle invoices, conduct research, and manage materials effectively

• Skill in budget processes, including planning, tracking, and auditing

• Proficiency in managing databases, scheduling tasks, and handling insurance matters

• Familiarity with "About Time" software for time tracking and management

• Ability to work with vendors, manage onboarding processes, and handle correspondence professionally

• Capability to perform ad hoc financial tasks when necessary
