Job Description

The Associate Director for Housing Operations and Administrative Services will be responsible for Occupancy Management and Facility Operations. The Associate Director will supervise a team of occupancy professionals that run the day-to-day functions of a 4,200-bed campus, including assignments, cancellations & exemptions, and room assignment processes. The Associate Director will support university efforts to prepare students for current and off-campus experiences. The Associate Director will be responsible for managing the Department's operational functions and facilities management, maintaining the inventory control system, including residential furniture, and building maintenance projects. The Associate Director will also lead strategic planning for areas supervised and assists Director in developing and implementing overall departmental strategic plans. The Associate Director will be a critical team member partnering with the Director of University Housing and Residence Life Experience to implement departmental goals and expand housing’s overall operation. The Associate Director of Housing Administrative Services will report to the Director of University Housing and Residence Life Experience.

The position is located on the Stephenville Campus. Work hours: Mon-Fri; 8 AM-5 PM, some weekends, and after hours required. Must be able to work remotely at the request of the University. Occasional travel to Fort Worth required. Serves as Campus Security Officer (CSA).

Responsibilities:

20% Supervision

Supervises the Assistant Director of Facilities and the Occupancy Management Team

Serves as part of departmental leadership team. Leads strategic planning for areas supervised and assists Director in developing and implementing overall departmental strategic plans. Responsible for annual budget preparation and expense control for areas of responsibility and provides input into overall department budget. Establishes performance goals and measures to evaluate the success of areas of responsibility. Assists Director in formulating and implementing policies and procedures. Supervises and directs staff and activities of project teams or functional areas. Oversees the coordination of programs, ensuring program goals are consistent with departmental and University missions. Serves on various University, division, and departmental committees and represents department at various State and National associations. Ensures compliance with unit, department, University, and government standards, policies, and procedures.

50% Housing Administrative Services

Operates daily within StarRez and Banner, managing and monitoring on-going processes and answering elevated questions.

Serves in the line of conflict resolution with a problem resolution goal before escalation for internal and external situations.

Represents the department at campus events such as New Student Orientation, Junior Preview Day, Senior Crawl, and other university programs in the Stephenville and Fort Worth Location, providing information and assistance to students and families.

Monitors and supports a departmental calendar for opportunities of collaboration and areas of possible conflict.

Supports off-campus initiatives at both the Stephenville and Fort Worth Campus including master leases, College Pads and other functions.

Ensures accurate housing assignments and billing are conducted per housing contract dates.

Serves as an administrator of the StarRez Housing software system, monitor the system functions, help with problems, and facilitate contact with the vendor.

30% Facilities

Works with internal and external partners, staff, and students to create residential enhancement proposals and manage the implementation of approved plans, protocols and programs. Manages and directs all functions related to security in the residence halls including electronic key box access, security cameras, and desk operations.

Collaborates with the team to lead the development and implementation of operational strategies including immediate, short-term, and long-term planning to ensure all residential facilities meet the needs of students and the department of Facilities Management.

Builds contingency plans for the scheduled maintenance and replacement of interior finishes, carpet, and materials in collaboration with Facilities Management.

Collaborates across campus to plan for and oversee move-in and move-out of all residential areas.

Assists the Director in various projects, communications, and reports, and attends various meetings on their behalf regarding Facilities Management and Capital Planning & Construction projects.

Responds to emergency and crisis situations that pertain to students and Residence Halls and Apartment Housing facilities. Serves as a backup on-call to the Assistant Director Team for facilities related questions, emergencies and follow-up for the Residence Life Office and Student Life Division when the Director is not available to support. The situations usually occur on campus on evenings and weekends, as well as during the typical workday.

Manages through analysis and reports the quality and assurance on all work orders related to all housing areas. Works closely with Residence Life Coordinators and Facilities Management staff on work order issues.

Education and Experience : Bachelor’s degree in applicable field or equivalent combination of education and experience. Eight years of related experience.

Knowledge, Skills, and Abilities: Knowledge of word processing, spreadsheet, and database applications. Ability to multitask and work cooperatively with others.

Ability to communicate clearly and effectively to ensure understanding.

Commensurate with experience

The target base annual salary is commensurate and may be negotiable based on funding availability and candidate experience/skillset in relation to the minimum requirements of this position.
