Founded when the university opened in 1891, the historic museum was expanded and renamed in 1999 for lead donors Iris and B. Gerald Cantor. The Cantor’s collection spans 5,000 years and includes more than 40,000 works of art from around the globe. An established resource for teaching and research on campus, the Cantor offers free admission year-round.

Reporting to and supporting the Events Manager, the Events Coordinator is a 75% FTE position that plans and executes the museum’s external events for Stanford affiliated and non-Stanford affiliated clients while ensuring that the Cantor is widely accessed as a campus and community resource. Stanford affiliated clients include different departments, units, and divisions at Stanford; non-Stanford affiliated clients include area non-profit organizations, corporations, and similar entities. The Events Coordinator will also play a key role in supporting development events including but not limited to, Museums by Moonlight, Jazz at the Gates, membership Art and Coffee, exhibition openings, plus additional Cantor one-off events that may involve additional logistical expertise and collaboration across departments.

In this role you will:

  • Manage accounting operations relating to events, including daily accounting procedures and reports, final monetary summaries, and/or account transfers.

  • Utilize and/or maintain complex databases. May use specialized event planning software.

  • Serve as a member of an events team and contribute in a wide variety of functional areas including budget allocation, event logistics, and facilities.

  • Support in the design, plan, implementation, and coordination of customized events.

  • Evaluate and select vendors and service providers considering stakeholder requests and requirements.

  • Consult with stakeholders to determine objectives and requirements.

  • Inspect event facilities to ensure they conform to event needs.

  • May serve as project leader on smaller scale events, coordinating teams that plan, implement, and manage all aspects of events; may manage program elements of larger scale events.

  • May inspect event facilities for maintenance, custodial and fire safety issues.

Please note that this position is hybrid on the Stanford campus, at least 2-3 days per week on site and will include some evening and weekend work.

In order to be successful, you will bring:

  • Associate degree and three years of relevant experience or combination of education and relevant experience.

  • Demonstrated commitment to promoting and supporting an environment of diversity and inclusion.

  • Ability to work both independently and as part of a team.

  • Ability to establish priorities, manage shifting priorities, and handle time-sensitive projects with multiple deadlines.

  • Ability to accomplish goals through formal and informal channels, with diplomacy and tact.

  • Excellent interpersonal, communication, time management, and customer service skills.

  • Must be well organized and detail oriented.

  • Ability to interact and successfully collaborate with a broad spectrum of contributing groups and customers.

  • Knowledge of Microsoft Office suite and knowledge of cloud applications such as Google Docs and Forms.

  • Knowledge of Smartsheets and AirTable a plus

Physical Requirements*

  • Frequent stand/walk, sit, perform desk-based computer tasks, and use a telephone.

  • Occasionally kneel/crawl, twist/bend/stoop/squat, grasp lightly/fine manipulation, and grasp forcefully, lift/carry/push/pull objects that weigh 21-40 pounds.

  • Ability to obtain and maintain a California Non-commercial class license and drive during the day or night.

The expected pay range for this position is $67,000-$80,000 per annum. The actual pay will be pro-rated based on the 75% FTE.
