Minimum Qualifications:

2 years of professional direct experience in an administrative support position. An associates’ degree from an accredited college or university and one year of administrative experience; or a bachelor's degree from an accredited college or university can substitute for the required experience.

Preferred Qualifications:

Preference may be given to candidates with the following qualifications:

One or more years of experience working with the State of Florida’s Procurement system, MyFloridaMarketPlace (also known as Ariba On Demand).

One or more years of experience working with State Purchasing Cards (PCards) and the Works program.

One or more years of experience working with the State Travel Management System (STMS).

Requirements:

Employment in this position is contingent upon a satisfactory Level 1 background check at no cost to the candidate.

Position Overview and Responsibilities:

The incumbent will be responsible for providing administrative and clerical support to staff in the Fisheries-Independent Monitoring (FIM) program of the Fish and Wildlife Research Institute (FWRI) at Headquarters in St. Petersburg, FL.

The duties include but not limited to: Provide support to Fisheries-Independent Monitoring staff by answering and responding to procurement questions; process purchasing card transactions; perform monthly invoice reconciliations, and track purchasing activity. The incumbent will prepare and track travel authorizations and reimbursement vouchers, act as Travel Liaison for payment of expenses, provide travel guidance and update staff profiles. Ensure the timely submittal of procurement, travel, and all other administrative documentation. The incumbent will be familiar with and disseminate rules, policies, and procedures to staff; will maintain files and reference materials for quick access to disseminate and act as a liaison with other FWC, FWRI, and FIM field offices.

Performs other duties as assigned.

Knowledge in using Microsoft Office Word, Excel, Outlook, and Adobe Pro.

Possess good customer service, telephone, and clerical skills

Ability to communicate effectively both orally and in writing.

Ability to multi-task, prioritize and meet deadlines Ability to act on changing priorities and responsibilities.
