Fairview Health Services Senior Administrative Assistant in St Paul, Minnesota

Overview

We are looking for an experienced Senior Administrative Assistant to provide high-level administrative support to our Senior HR Leaders. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple priorities with professionalism and discretion.

This role offers flexibility with mobile work options, though occasional onsite presence may be required.

Responsibilities Job Description

  • Executive Support: Manage complex calendars, schedule meetings, and coordinate travel arrangements for senior HR leaders. Prepare and organize materials for meetings and presentations.

  • Communication: Serve as a point of contact between senior HR leaders and internal/external stakeholders. Draft and proofread correspondence, reports, and other documents.

  • Project Coordination: Assist with HR projects and initiatives, including compiling data, creating reports, and tracking project milestones. Coordinate and support HR events and activities.

  • Administrative Duties: Handle confidential information with discretion, maintain accurate records, and manage HR documentation and filing systems. Process invoices and manage expense reports.

  • Office Management: Oversee office supplies, equipment maintenance, and other administrative functions to ensure smooth operation of the HR department.

Qualifications

  • Experience: Minimum of 3 years of administrative support experience, preferably in an HR or executive support role. Experience supporting senior-level executives is highly desirable.

  • Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong organizational skills, attention to detail, and the ability to manage multiple priorities effectively.

  • Communication: Excellent verbal and written communication skills. Ability to interact professionally with internal and external stakeholders.

  • Education: Associate's degree in Business Administration, Human Resources, or a related field or Bachelor’s degree preferred.

  • Attributes: High level of discretion, integrity, and professionalism. Strong problem-solving skills and a proactive attitude.
