Primary work location will be the Golden Rule Building in St. Paul

The purpose of this position is to act as administrative support to the Self-Insurance Unit. This individual will work as an administrator and coordinator directing the intake of filings from our regulated entities. The individual will answer or forward to the appropriate analyst incoming calls and e-mails regarding the licensing and monitoring of the Self-Insurance Unit's multiple products.

Responsibilities include:

  • Answer questions from incoming phone calls, e-mails, letters, or electronic submissions regarding licensing or registering new or renewal customers for any of our products,

  • Answer questions and follow ups from submissions. Working with the various analysts to research specific issues related to the submission they are working on.

  • Track and check in security deposits for self-insured liabilities as they come in or change. Update security amounts in the Self-Insurance Access Database. Determine where individual securities will be stored and deliver securities to State Treasurer where appropriate.

  • To process the Service of Process requests. This includes corresponding with the requester to clarify the information required if necessary.

  • Preparing files or documents to go into Content Navigator (FileNet). Uploading files into Content Navigator(FileNet).

Minimum Qualifications

  • Customer service skills sufficient to organize internal and external communications as needed, answer general inquiries, and manage all correspondence (including email communications).

  • Word processing skills sufficient to develop internal and external communications, internal memos, and other documents.

  • Data entry skills sufficient to compile data into existing Excel files and other similar formats.

  • Database management skills sufficient to enter data and run existing reports

Preferred Qualifications

  • Ability to manage and work on separate projects at the same time,

  • Ability to read and comprehend department bulletins, manuals and rules

  • Develop and maintain professional working relationships and work collaboratively

  • Ability to represent the department and division in a professional manner.

Physical Requirements

Requires occasional moving of articles such as boxes, accounting records, laptop computer, and portable printer.
