The purpose of this position is to provide administrative office support to the FAS division. This includes providing division level technical support and coordinating and/or conducting one on one training for FAS employees; serving as project leader in the analysis, design, development, and implementation of applications in the Microsoft Office Suite, FAS web content, and provide basic frontline support of the office's computers, printers, and scanners. The position also assists with basic administration of the agency ID card system and the agency wide Gift Acceptance Program. This position is responsible for preparation of the detail for MNIT billings, and various accounts payable work as assigned. This position acts as the division's frontline technical liaison with the MNIT team for FAS technical problems, questions, or concerns and is also the primary back up to the DPS main receptionist as needed.

Minimum Qualifications

  1. Write, prepare, and edit materials, using correct spelling, punctuation, grammar, and sentence construction.

  2. Present clear and concise explanations of governing rules and regulations in a manner that is understandable.

  3. Interpret and explain program information to customers, clients, and coworkers, such as policy, procedures, eligibility requirements, application details, and payment methods.

  4. Ability to answer questions politely via phone, email, and other written or electronic correspondence.

  5. Standard computer software programs for word processing, spreadsheets, and databases sufficient to create, modify, and protect files.

  6. Typing/Keyboarding, using Microsoft Word or equivalent software, sufficient to produce documents such as emails and other correspondence in an efficient and timely manner.

  7. Respond effectively to clients, coworkers, and customers who have questions about agency operations and procedures (in person, in writing, on the phone, and through presentations and other electronic correspondence.

  8. Respectfully engage with clients, coworkers, and customers, when handling difficult or complex problems and resolving escalated complaints or disputes.

Preferred Qualifications

  1. Experience working in the state's financial management system (SWIFT).

  2. Experience working with MN.IT processes and procedures for submitting heat tickets.

  3. Ability to answer or problem solve minor computer or MS Office application questions.

  4. Experience and ability to determine technical equipment needs.

Physical Requirements

Very Light: Requires occasionally moving and transporting such articles as file folders and small tools. May need to maintain stationary position for long periods of time while carrying out job duties.
