Job Summary

This employee will play an important role in fostering key relationships with our clinical preceptors by accurate processing and collection of credentialing documents required for clinical student rotations. Important tasks related to this are maintaining professional communications with students, clinics, and preceptors as well as attention to detail, strong organizational skills, and the ability to work independently.

This employee will also participate in the day-to-day operations of the clinical year by providing administrative support to the clinical team throughout the student’s final year of the program. This is a key staff role that is integral to maintaining a sufficient inventory of clinical student rotation sites around the state.

The mission of the University of Utah Physician Assistant Program is to improve the quality of health and access to care, with a commitment to the medically underserved, by educating students to become highly proficient, socially conscious, and accountable physician assistants (PAs) in the primary care model.

Responsibilities

  1. Assist with clinical site and preceptor recruitment by regularly solicit requests for clinical placements in the St. George and southern Utah areas. This may include ordering food, swag, or other items, attending lunches, and/or visiting offices and coordinating visits.

  2. Manage Preceptor Clinical Medical Education ( CME ) for preceptors in St. George and southern Utah areas. Review evaluations and generate CME Certificates on quarterly basis.

  3. Assist with collection and maintenance of clinical preceptor affiliation agreements for the program.

  4. Verify clinical preceptor licensing information regularly, may include contact with preceptors for updated licensing information which will be the responsibility of this individual to input into the EXXAT system.

  5. Assist with collection and maintenance of required credentialing documents for all student rotations, mainly for SG campus, including input into EXXAT system. Prior knowledge of the EXXAT system is not required, training will be provided.

  6. Manage St. George Clinical Schedule with collaboration with faculty. Make sure that each student has a confirmed rotation as soon as possible but no less than 30 days before the start of their rotation is up to date, rotations are in Exxat, and all parties involved are notified of any changes made.

  7. Work with the Director of Clinical Education and the course directors of didactic clinical experience to ensure adequate preceptors and clinical sites for clinical year students and DCE students.

  8. Communicate with students about efforts being made to fill empty slots as outlined. Work with clinical year faculty and staff to promptly address student clinical rotation needs.

  9. Answer student questions in a professional and prompt manner via email, in person, and telephone communications.

  10. Manage and approve student absences. Ensure absence’s meet handbook policy, students are contacting all parties involved of time away from clinic, all absences are properly documented in Exxat. Review urgent time off requests that are submitted via Google form and enter information into Exxat. Discuss any concerns or requests that are outside of the permitted absences with the clinical team.

  11. Assist with various needs of the clinical year students including end of rotation exams, return visits, and any events during clinical year. Manage SG students’ PAEA requirements related to exams.

  12. Assist with renewing liability insurance and liability verifications for current students and graduates looking for employment verification.

  13. Assist with Worker’s Comp Claims – Process Worker’s comp claims for students.

  14. Answer clinical preceptor and faculty questions in a professional and prompt manner daily via email, in person, and telephone communications.

  15. Assist with additional PA program activities, such as Procedure Days, labs, community engagement, events, exam proctoring, and other duties as needed.

  16. Keep minutes of clinical team meetings.

  17. Attention to detail, good customer service skills, strong organizational skills, and the ability to work independently are important for success in this position.

Minimum Qualifications

Bachelor’s degree in a related area or equivalency (one year of education can be substituted for two years of related work experience), and two years related experience required. Demonstrated human relations and effective communication skills also required.
